Johnson & Johnson Innovative Medicine Asia Pacific is recruiting for a Senior Executive Assistant to the CEO and CFO, located in Singapore.

As the Executive Assistant to the CFO for J&J Innovative Medicine Asia Pacific, you will play a pivotal role in ensuring the smooth operation of our executive office. You will be responsible for providing high-level administrative support to Chief Financial Officer (CFO) as well as general administration support for AP Regional Finance organization. This role requires exceptional organizational skills, a keen eye for detail, and the ability to maintain confidentiality while handling sensitive information.

**Key Responsibilities**
- Calendar Management: Maintain and coordinate the CFOs' calendars, scheduling meetings, appointments, and travel arrangements. Ensure all commitments are met while optimizing their time.
- Meeting Coordination: Arrange and prepare materials for executive meetings, conferences, and presentations. Attend meetings and take detailed notes for later distribution.
- Travel Management: Plan and coordinate travel itineraries, including flights, accommodations, and ground transportation, ensuring cost-effective and efficient travel arrangements.
- Document Management: Manage and organize digital and physical files, records, and documents for the executives. Maintain an efficient and well-organized filing system.
- Expense Management: Handle expense reports and reimbursements, ensuring compliance with company policies and accurate record-keeping.
- Event Planning Support: Assist in the preparation and coordination of the global executive visit, as well as coordinate meetings and related logistics.
- Project Support: Provide support for special projects and initiatives as assigned by the CEO and CFO, including research, analysis, and follow-up.
- Confidentiality: Maintain the highest level of confidentiality regarding all aspects of the executives' work and activities.
- Relationship Management: Build and maintain strong relationships with internal and external stakeholders, including clients, partners, and board members.

**Qualifications**:

- Proven experience as an executive assistant or senior administrative assistant, preferably supporting C-suite executives.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in MS Office and other relevant software.
- Exceptional attention to detail and problem-solving abilities.
- Ability to work independently and prioritize tasks effectively.
- High level of professionalism, discretion, and integrity.
- Bachelor's degree or equivalent experience preferred.
