Senior/executive, Operations

Reporting to the Manager, Operations & Facilities, the Senior Executive / Executive, Operations & Facilities works closely with multiple internal and external stakeholders to ensure smooth operations of Dover Park Hospice and provide estate management support.
**Responsibilities**:
- Ensure that all the Licenses, third party insurances, road tax etc. are up to date.
- Ensure that all maintenance of the office and facility equipment / appliances are conducted in a proper manner.
- Ensure that office supplies are available for the daily running of the Hospice.
- Review the selection of appropriate suppliers and contractors to promote good procurement practice with due regard to sustainability, ethical purchasing standards and competitive pricing.
- Regularly conduct price and services reviews of general supplies and deal with any aspect of non-performance.
- Supervise and lead the In-house Technician to ensure that the daily housekeeping and maintenance of the building such as paintwork, fixtures, drainage, interior and exterior of the building are in good condition. This will require walk-about around the premise to check on state of things.
- Direct and oversee the activities of contractors (housekeeping team contractors, technicians, landscapers, pest control, security etc.) and that their scope of responsibilities are carried out in a proper and timely manner.
- Develop and implement purchasing and contract management instructions, policies and procedures.
- To oversee and ensure that the waste management activities are carried out and consistent with established standards.
- Responsible for all activities involving safety and quality assurance (admin and support services only) and compliance with applicable regulatory requirements.
- To regularly review the ISO, OHSAS policies and standards and improvise plans to expand upon the existing quality standards.
- Keep up to-date with all related quality legislation and compliance issues.
- Provide consistent follow-up on improvement actions and the timely submission of quality reports.
- Coordinates with other Head of Departments / Managers to discuss quality control standards according to their functional needs.
**Requirements**:
- Diploma / Bachelor Degree in Building/ Facilities Management or a related field.
- 3 - 5 years’ experience in Operations and/or facility management.
- Preferably with experience in ISO Quality Management System and/or OHSAS.
- Certificate in Fire Safety Manager Course recognised by SCDF or equivalent.
- Mature, dynamic and self-motivated.
- Possess excellent communication and interpersonal skills.
- Self-directed with the ability to work with little supervision.
- Flexible and cooperative in fulfilling all obligations.
**Job Types**: Full-time, Permanent
**Salary**: $2,700.00 - $4,500.00 per month
