Executive - Leasing Admin

This position will perform a variety of administrative tasks. Duties of this role include providing support to our managers, assisting in daily office needs and managing the Leasing Department administrative activities.
**Job Responsibilities and duties
**Leasing**
1. Handle enquires/feedbacks/complaints on tenancy-related matters from both existing and prospective tenants/agents.
2. Communicate, follow-up and liaise with lawyers and tenants to ensure timely execution of tenancy contracts/documents.
3. Conduct due diligence on new and existing tenants prior to the issuance of letter of offer, but not limited to compliance matters.
4. Monitoring expiry of leases.
5. Liaise with surveyors on site survey.
6. Unit keys management for viewing/handover (work closely with Finance, Property agent/building management teams).
7. Ensure all deposits/BG, advance rental, stamp duty fee and any other payments are received accurately for renewal and new lease execution.
8. Assist in attending IRAS queries on property tax matter relate to leasing, separate assessment submission.
9. Establish and maintain good landlord and tenant relationships.
**Administrative**
1. Enter information and data into the system and maintain the database, as well as monitor the status of lease documents.
2. Perform all administrative tasks pertaining to property and leasing matters, including
3. preparation of tenancy related documents (Letter of Offers, Novation of lease and pre-termination etc.), vetting and reviewing of agreements.
4. Maintain and update tenancy schedules, floor plans etc.
5. Ensure proper filing of leasing documents.
6. Handle festival hampers/goodies to tenants.
7. Schedule appointments for leasing managers.
8. Survey submission on occupancy of commercial premises.
9. Any other task as assigned by immediate supervisor / management.
**Skills and Qualification**:
- Diploma in Real Estate/ Building Management/ Business Administrative or its equivalent.
- At least 2 years relevant experience in lease administration.
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skill.
- Possess good communication, interpersonal and writing skills.
- Team Player, independent and process initiative.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
- Good command of written and spoken English.
