Job Description

The Executive Assistant to the General Manager (GM) plays a crucial role in supporting the GM, ensuring the smooth operation of the executive office. This position involves a combination of administrative tasks, communication management, and strategic coordination.

  • Coordinate GM's daily schedule, including meetings and appointments.
  • Book travel arrangements, including flights, accommodation, and transportation.
  • Manage visa applications for the GM, liaising with relevant parties such as travel agencies, embassies, and group companies to ensure compliance with travel requirements.
  • Prioritize and manage the GM's calendar to optimize efficiency and productivity.
  • Keep the team's calendar updated through Microsoft Outlook.
  • Manage and prioritize official communication, including phone calls and emails, on behalf of the GM, serving as a primary point of contact between internal and external stakeholders.
  • Plan and organize both internal and external meetings and events, ensuring timely communication and preparation with all relevant parties.
  • Organize and manage company-level events and functions, including venue booking, accommodation, and communication with invited participants or guests.
  • Manage, reconcile, and verify travel and entertainment expenses in line with company policy, including preparation of travel applications, claims, and related forms.
  • Organize and maintain records, files, and documents relating to the team's activities.
  • Draft and review memos, letters, and other correspondence.
  • Ensure confidentiality and accuracy in handling sensitive information.
  • Undertake additional tasks and responsibilities as required.

Requirements

  • Minimum 5 years of proven experience as an Executive Assistant or in a similar role.
  • Strong organizational and time management skills.
  • Excellent communication skills, with proficiency in both English and Japanese to liaise effectively with Japanese-speaking stakeholders and support business requirements.
  • Proficiency in Microsoft Office Suite and related productivity tools.
  • High level of discretion and professionalism in handling sensitive and confidential information.
  • Demonstrated ability to adapt and perform effectively in a fast-paced environment.\

  • Working Location: East
  • Working Hours: Monday to Friday, Office Hours
  • Basic Salary: S$5,000 or Above + Bonuses
