Position Overview:

We are seeking a highly organised and proactive Executive Assistant to support our executive team with high-level administrative functions, business development coordination, and office management. This role is essential to maintaining smooth operations and ensuring effective communication within and outside the company.

Key Responsibilities:

  • Provide comprehensive administrative support, including calendar management, travel arrangements, and preparing reports.
  • Coordinate and prepare business proposals and support business development (BD) activities by organising market visits and client meetings.
  • Oversee office operations, ensuring a well-organized, efficient workspace.
  • Organize and prepare for internal and external meetings, ensuring agendas are set and materials are distributed in advance.
  • Maintain and manage records, files, and documents, ensuring easy access and confidentiality.
  • Act as a liaison between executives, clients, and internal teams, upholding professionalism and confidentiality.
  • Collaborate with various departments to streamline processes and support project requirements.
  • Support in tracking project timelines, deadlines, and other key milestones.

Qualifications:

  • Minimum of 3-5 years of experience in an Executive Assistant or similar role, preferably in the building construction industry or consultancy.
  • Strong organizational and multitasking abilities with a meticulous attention to detail.
  • Proficiency in MS Office; experience with CRM or project management tools is an advantage.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a collaborative team.
  • Familiarity with industry standards, terminology, and practices within the construction or engineering consultancy field.
  • Strong problem-solving skills, adaptability, and a proactive approach to tasks.
