Job Summary
We are seeking a highly organized and detail-oriented Order Administrator cum Shipping to oversee and manage the full order fulfilment process — from processing customer orders to coordinating timely shipping and delivery. This individual will play a key role in supporting sales, project, logistics, and customer service teams to ensure accurate processing and exceptional service delivery in the power generator and spare parts sector.
Key Responsibilities
Order Administration
- Receive, review, and process customer orders accurately and efficiently.
- Verify pricing, product codes, and inventory levels before confirming orders.
- Maintain up-to-date order records and statuses in the system (ERP or internal database).
- Communicate proactively with customers regarding order confirmation, shipping updates, and delays.
- Address and resolve customer inquiries or complaints regarding orders and deliveries.
- Liaise with internal departments including Sales, Logistics, and Finance for seamless operations.
- Monitor stock availability and coordinate reordering of fast-moving items.
Shipping Coordination
- Arrange and coordinate shipment of goods with freight forwarders or logistics vendors.
- Prepare accurate shipping documentation (invoices, packing lists, delivery orders, customs paperwork, etc.).
- Track and trace shipments; resolve any delays or shipping-related issues.
- Ensure compliance with import/export regulations when shipping internationally.
Requirements
- Diploma or Degree in Business Administration, Supply Chain Management, Logistics, or related field.
- 3-4 years of relevant experience in order processing and shipping, preferably in a manufacturing or industrial equipment setting.
- Familiarity with shipping platforms, ERP systems, and inventory management tools.
- Strong organizational and multitasking abilities.
- Excellent communication and problem-solving skills.
- Experience in the power generator or spare parts industry is highly advantageous.
- Ability to work under pressure and meet tight deadlines.
- Hands-on experience with L/C and Banker's Guarantee handling is required.
