1. Office & General Administration

·       Lead the day-to-day administration of the corporate headquarter, serving as the central point of coordination for the group's corporate administrative function, including support for overseas project offices.

·       Ensure seamless operations across leasing, procurement, facilities management, and workplace services with a strong emphasis on sustainability, continuity, and operational efficiency,including oversight of renovation and upgrading works, rental lease discussions and negotiations, and acting as the primary liaison with the building management office.

·       Serve as the overall coordinator for administrative support related to after-office functions and corporate events, ensuring smooth execution and alignment with company standards.

·       Design and implement scalable administrative frameworks to support the full life cycle of projects,from inception through execution and long-term operations, across the group's diversified portfolio.

2. Corporate Governance & Entity Management

·       Direct the establishment, administration, and lifecycle governance of corporate entities,including special purpose vehicles (SPVs), subsidiaries, and holding structures;across multiple legal jurisdictions, ensuring structural integrity and regulatory conformity.

·       Engage and coordinate with external advisors, including corporate secretarial firms, legal counsel, and compliance vendors, to facilitate the timely execution of incorporations, statutory filings, regulatory submissions, and jurisdiction-specific documentation, in accordance with both domestic and international legal frameworks.

·       Safeguard the integrity of corporate governance records, maintaining meticulous documentation of board and shareholder resolutions, minutes, statutory registers, and regulatory filings in strict compliance with applicable legislation and internal governance protocols.

·       Provide strategic counsel on entity structuring and governance best practices, proactively advising on regulatory timelines, jurisdictional nuances, and corporate housekeeping to support cross-border transactions, business scalability, and fiduciary obligations.

3. Global Office Alignment & Interjurisdictional Administrative Stewardship

·       Act as the principal administrative conduit between the headquarter and the company's global offices, ensuring seamless coordination and alignment across geographically dispersed teams.

·       Manage and streamline cross-border workflows, overseeing the preparation and exchange of bilingual documentation and intercompany materials to support critical functions including finance, legal, compliance, and investment operations.

·       Facilitate effective communication and operational synchrony across time zones by anticipating regional nuances, aligning meeting schedules, and resolving administrative bottlenecks to enable timely decision-making and execution.

·       Serve as a trusted liaison with key internal stakeholders and external partners, fostering collaboration, reinforcing corporate protocols, and ensuring that administrative processes reflect the expectations and governance standards of each jurisdiction.

·       Champion cross-cultural alignment by maintaining awareness of language, business etiquette, and jurisdiction-specific requirements, contributing to a cohesive global administrative infrastructure.

Skills & Qualifications:

  1. Bachelor's degree in Business Administration, Corporate Governance, Management, or a related field; Master's degree preferred.
  2. Minimum 10 years of relevant experience, including 5+ years in a senior administrative leadership role, ideally in energy, infrastructure, or investment sectors.
  3. Demonstrated experience on incorporation and entity management across multiple countries.
  4. Familiarity with SPV structures and project-based corporate governance.
  5. Excellent communication, planning, and coordination skills—particularly across multi-cultural, cross-border teams.
  6. Proficient in English; Mandarin proficiency is a strong advantage for engaging with Chinese-speaking partners and documentation.
  7. Highly organized, diplomatic, and resourceful with the ability to navigate complex stakeholder environments.
  8. Singaporeans preferred.
