About the role
We are seeking a diligent Accounts and Admin Assistant to join our team at ESFIRA PTE LTD. In this full-time position, you will be responsible for performing a range of accounting and administrative duties to support the smooth running of our organization.
Key Responsibilities
Administrative Duties:
Support and handle day-to-day office administration and documentation related to accounts and general administration.
- Maintain and update filing systems, records, and databases.
- Manage stationery and office supply inventories.
- Assist in scheduling meetings, appointments, and travel arrangements.
Prepare reports, memos, and basic correspondence as required.
Accounts & Logistics Support:
Coordinate and arrange shipments (local and international) with procurement team and courier companies.
- Track and follow up on delivery schedules to ensure timely dispatch and arrival.
- Liaise with needful parties on shipping arrangements and requirements.
Handle documentation for export/import permits if applicable.
Communication & Coordination:
Act as a liaison between internal departments and external partners.
- Update customers and internal teams on shipment statuses and potential delays.
Respond to administrative and logistics inquiries in a timely and professional manner.
Other Duties:
Support other departments during peak periods or as assigned by management.
- Ensure adherence to company policies and procedures.
Requirements
- Diploma in Accounting, Business Admin or related fields
- 1- 2 years of experience in a similar accounts or administrative role (entry level may be accepted)
- Proficiency with accounting software and Microsoft Office suite
- Excellent attention to detail and the ability to maintain accurate financial records
- Strong communication and interpersonal skills to liaise with colleagues and stakeholders
- Flexibility to handle a variety of tasks and adapt to changing priorities
