1) Job Overview

We are looking for a proactive and detail-oriented Senior Payroll Executive to manage end-to-end payroll processes for our team of fitness professionals, operations staff, and corporate employees (approx. 250 headcount). You will play a critical role in ensuring accurate and timely payroll, maintaining statutory compliance, and supporting employee queries in a dynamic and fast-paced wellness environment.

This role requires someone who thrives in a people-first culture, understands the unique demands of the fitness industry (e.g. variable working hours, shift-based incentives, freelance/PT arrangements), and can work collaboratively across departments to ensure payroll excellence.


2) Key Responsibilities

  • Oversee the full payroll cycle, including mid-month and end-month processing for full-time, part-time, freelance, and shift-based employees.
  • Handle salary computation for new joiners, leavers, and internal transfers, ensuring timely updates to payroll records.
  • Manage tax clearance (IR21) for foreign employees and process final payments for departing team members.
  • Process salary adjustments including promotions, annual increments, performance bonuses, commissions, and class/training allowances.
  • Accurately prepare and submit statutory filings (CPF, IR8A, IR8S, IR21) in compliance with government timelines.
  • Administer and file statutory leave claims (e.g. NSMen, maternity/paternity/shared parental/childcare leave).
  • Coordinate with studio managers, gym heads, and other departments on variable payments such as overtime, attendance bonuses, and incentive payouts.
  • Be the go-to payroll contact for employees—resolving pay-related inquiries with professionalism and empathy.
  • Investigate and resolve discrepancies and complex payroll issues while ensuring employee trust and confidentiality.
  • Generate and review monthly and annual payroll reports, including payroll reconciliation and statutory reporting.
  • Ensure all payroll practices adhere to Singapore employment laws, CPF, IRAS, and MOM regulations.
  • Prepare monthly manpower cost and analysis reports for Finance and Operations teams.
  • Maintain complete and compliant payroll documentation for internal and external audits.
  • Partner with Finance on payroll-related matters, including reconciliations and reporting for new gym/studio openings or business initiatives.
  • Lead payroll improvement projects, supporting automation, accuracy, and system enhancements.
  • Assist in preparing ad-hoc reports, employee statistics, and surveys (e.g. MOM, HR analytics).
  • Perform any other ad-hoc duties assigned by the reporting manager or HR leadership.

3) Qualifications & Requirements

  • Diploma or Degree in Human Resources, Finance, Business Administration, or related field.
  • Minimum 2 years of payroll experience, preferably in the fitness, hospitality, retail, or service industry.
  • Solid understanding of statutory regulations (IRAS, CPF, MOM, MINDEF) and payroll best practices in Singapore.
  • Experience using payroll software (e.g. BIPO) and strong Microsoft Excel skills for data analysis and reporting.
  • High attention to detail and ability to handle multiple payroll schemes (e.g. hourly pay, class-based commissions, freelance trainer fees).
  • Strong interpersonal skills to engage effectively with employees at all levels, from fitness trainers to corporate staff.
  • Ability to work independently and manage time effectively in a fast-moving, energetic environment.
  • Prior experience handling 250+ headcount will be an advantage.
  • Familiarity with tax procedures and statutory claims is preferred.
  • Singaporeans preferred due to statutory requirements.
