What you'll do:
A Personal Assistant to the Founder and Managing Partner, you will play a pivotal role in orchestrating every aspect of their professional commitments and personal affairs. Your day-to-day responsibilities will involve managing complex calendars across global time zones; preparing essential documents for meetings; coordinating extensive travel plans; handling confidential family logistics; organising exclusive events; maintaining vital relationship databases; tracking important renewals; supporting ad hoc projects; and ensuring seamless execution of all tasks entrusted to you. Success in this role means being trusted implicitly to operate independently while consistently demonstrating sound judgement. Your ability to anticipate needs before they arise combined with your commitment to discretion will ensure that every detail runs smoothly. You will be relied upon not only for your organisational skills but also for your warm interpersonal approach when liaising with stakeholders at all levels.
- Serve as the primary point of contact between the Managing Partner and key internal and external stakeholders, ensuring all communications are handled with professionalism and sensitivity.
- Manage an intricate calendar spanning multiple time zones, proactively anticipating priorities, resolving scheduling conflicts, and ensuring optimal use of time.
- Prepare detailed briefing notes, meeting materials, correspondence, and other documentation required for high-level engagements.
- Plan and coordinate end-to-end business and personal travel arrangements including multi-leg itineraries, visa applications, accommodation bookings, private drivers, curated dining experiences, and bespoke activities.
- Oversee confidential family logistics such as appointments, purchases, household arrangements, insurance renewals, shipping logistics, and sensitive personal matters.
- Organise intimate private events with meticulous attention to detail while maintaining complete discretion at all times.
- Maintain VIP contact databases, relationship records, LinkedIn profiles, and other resources to facilitate smooth communication flows.
- Track renewals for passports, re-entry permits, visas, and other critical documentation for the Managing Partner and family members.
- Support ad hoc projects ranging from lifestyle requests to special arrangements as needed by the Managing Partner or their family.
- Ensure all tasks are completed efficiently while upholding the highest standards of confidentiality and operational excellence.
