Personal Assistant CEO
An exceptional opportunity has arisen for a highly organised and polished Personal Assistant to provide comprehensive support to the Founder and Managing Partner of a leading boutique investment fund in Asia. This role is ideal for someone who thrives on ensuring seamless operations across both professional and personal domains, taking pride in delivering flawless service with absolute discretion.
What you'll do:
A Personal Assistant to the Founder and Managing Partner, you will play a pivotal role in orchestrating every aspect of their professional commitments and personal affairs. Your day-to-day responsibilities will involve managing complex calendars across global time zones; preparing essential documents for meetings; coordinating extensive travel plans; handling confidential family logistics; organising exclusive events; maintaining vital relationship databases; tracking important renewals; supporting ad hoc projects; and ensuring seamless execution of all tasks entrusted to you. Success in this role means being trusted implicitly to operate independently while consistently demonstrating sound judgement. Your ability to anticipate needs before they arise combined with your commitment to discretion will ensure that every detail runs smoothly. You will be relied upon not only for your organisational skills but also for your warm interpersonal approach when liaising with stakeholders at all levels.
- Serve as the primary point of contact between the Managing Partner and key internal and external stakeholders, ensuring all communications are handled with professionalism and sensitivity.
- Manage an intricate calendar spanning multiple time zones, proactively anticipating priorities, resolving scheduling conflicts, and ensuring optimal use of time.
- Prepare detailed briefing notes, meeting materials, correspondence, and other documentation required for high-level engagements.
- Plan and coordinate end-to-end business and personal travel arrangements including multi-leg itineraries, visa applications, accommodation bookings, private drivers, curated dining experiences, and bespoke activities.
- Oversee confidential family logistics such as appointments, purchases, household arrangements, insurance renewals, shipping logistics, and sensitive personal matters.
- Organise intimate private events with meticulous attention to detail while maintaining complete discretion at all times.
- Maintain VIP contact databases, relationship records, LinkedIn profiles, and other resources to facilitate smooth communication flows.
- Track renewals for passports, re-entry permits, visas, and other critical documentation for the Managing Partner and family members.
- Support ad hoc projects ranging from lifestyle requests to special arrangements as needed by the Managing Partner or their family.
- Ensure all tasks are completed efficiently while upholding the highest standards of confidentiality and operational excellence.
What you bring:
To excel as Personal Assistant to the Founder and Managing Partner in this distinguished investment firm setting, you will bring significant experience supporting senior leaders within demanding environments, ideally founder-led businesses or family offices catering to ultra-high-net-worth individuals. Your background demonstrates not only technical proficiency in diary management, travel coordination, document preparation, event planning, database maintenance but also an unwavering commitment to confidentiality. You possess refined interpersonal skills that enable you to connect thoughtfully with stakeholders from diverse backgrounds. Your approach is marked by empathy, dependability, responsiveness, and above all, a genuine desire to nurture harmonious working relationships over time. Adaptability is second nature: you remain composed amid shifting demands while always prioritising operational excellence. Your fluency with digital tools ensures efficiency in every task undertaken. Above all else, your loyalty inspires confidence that every detail entrusted to you will be managed discreetly yet effectively.
- A minimum of five years' experience providing executive support at C-suite level within founder-led organisations or ultra-high-net-worth environments is essential for this position.
- Exceptional organisational abilities with acute attention to detail and a proven track record of follow-through on complex assignments are required.
- Demonstrated capacity to handle confidential information sensitively while exercising absolute discretion is fundamental.
- A proactive mindset combined with self-motivation enables you to navigate ambiguity confidently without constant direction from others.
- Outstanding communication skills, both written and verbal, are necessary for effective stakeholder engagement across diverse audiences.
- Interpersonal warmth coupled with a natural service orientation allows you to foster positive relationships built on trust.
- Comfort operating in fast-changing environments where shifting priorities demand flexibility is highly valued.
- Proficiency in Outlook, Google Suite applications (such as Gmail/Calendar/Docs), along with basic project or event management tools is expected.
- Experience managing international travel logistics, including visas/accommodation/private transport, for executives or families is advantageous.
- Ability to build stable long-term working relationships founded on loyalty while elevating operational standards through quiet problem-solving.
