Warehouse Admin/Coordinator

Are you a highly organized and detail-oriented individual with a passion for logistics? We're looking for a proactive Warehouse Admin/Coordinator to be the operational backbone of our team. In this key role, you'll manage the flow of goods, maintain accurate inventory, and ensure our warehouse operations run smoothly and efficiently.
What You'll Do:
1. Warehouse Operations Support
· Assist in daily warehouse operations including receiving, storage, picking, packing, and dispatching of goods.
· Ensure accuracy of stock movement records in the system.
· Monitor stock levels and coordinate with procurement teams on replenishment.
· Conduct periodic stock counts and reconcile discrepancies.
· Physically fit to handle basic warehouse tasks (lifting, arranging stock).
2. Documentation & Administration
· Maintain accurate filing of all warehouse-related records (manual and digital).
· Generate regular inventory, stock movement, and logistics reports.
· Help with regular stock counts and ensure inventory levels are accurately updated in our system. You'll also investigate and resolve any discrepancies.
· Support compliance with company SOPs and audit requirements.
· Coordinate with internal departments (sales, purchasing, operations) to meet customer requirements and business needs.
3. Compliance & Safety
· Ensure adherence to warehouse safety and security procedures.
· Maintain proper housekeeping and space utilization within the warehouse.
· Report and escalate any incidents, damage, or operational issues.
4. Team Collaboration
· Support warehouse staff in day-to-day activities when necessary.
· Provide administrative and coordination assistance to the Warehouse in Charge and Technical Coordinator.
· Participate in improvement initiatives for workflow efficiency and process optimization.
What We're Looking For:
· Experience: Previous experience in a warehouse administration, logistics, or similar role.
· Technical Skills: Proficient in Microsoft Office (Excel, Word, Outlook) and preferably familiar with EquipWeb software will be an advantage.
· Attention to Detail: A meticulous approach to documentation and data entry.
· Communication: Excellent verbal and written communication skills to effectively coordinate with internal teams and external partners.
· Problem-Solving: A proactive, can-do attitude and the ability to find quick solutions to logistical challenges.
· Education: Minimum GCE 'O' Levels / NITEC, or related fields or a related qualification in logistics or supply chain management is a plus.
Additional Criteria
· Positive and willing-to-learn attitude.
· Able to work under pressure in a fast-paced environment and meet tight deadlines.
· Willing to work overtime or on weekends when operationally required.
