We are seeking a detail-oriented and proactive HR & Admin Assistant to support our growing company specializing in system installations for the semiconductor industry. This role combines human resources functions with administrative support to ensure smooth daily operations while maintaining compliance with industry standards and regulations.
Key ResponsibilitiesHuman Resources Functions
- Assist with full-cycle recruitment including job posting, resume screening, interview coordination, and new hire onboarding
- Maintain employee records, personnel files, and HR documentation in compliance with local labor laws
- Support employee benefits administration and coordinate with insurance providers
- Process payroll data and assist with timekeeping systems
- Handle employee inquiries regarding policies, benefits, and procedures
- Coordinate training programs, safety certifications, and technical skill development
- Assist with performance review processes and documentation
- Support employee relations activities and workplace communication initiatives
- Handle foreign employees hiring matters
- Manage office operations including supplies, equipment, and vendor relationships
- Coordinate project scheduling and resource allocation with field installation teams
- Maintain client databases and project documentation
- Handle general correspondence, phone calls, and visitor reception
- Prepare reports, presentations, and administrative documents
- Assist with compliance documentation for semiconductor industry standards
- Support project managers with administrative tasks related to system installations
- Manage company calendar, meetings, and travel arrangements
- Maintain safety training records and certification tracking for technicians
- Support compliance with OSHA regulations and semiconductor industry safety standards
- Assist with documentation for quality assurance and regulatory requirements
- Coordinate safety meetings and maintain safety-related administrative records
- Diploma or degree in Human Resources, Business Administration, or related field (or equivalent experience)
- 2-3 years of experience in HR and/or administrative roles
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with HRIS systems and payroll software preferred
- Knowledge of employment law and HR best practices
- Strong attention to detail and ability to handle confidential information
- A quick learner with can-do attitude
- Experience in manufacturing, construction, or technical services industries
- Familiarity with semiconductor industry regulations and safety standards
- Knowledge of project management principles
- Experience with compliance documentation and record-keeping
- Bilingual capabilities (English and Mandarin)
- Strong interpersonal skills for employee relations and client interaction
- Problem-solving abilities and proactive approach to challenges
- Ability to work independently while supporting cross-functional teams
- Flexibility to adapt to changing priorities in a dynamic work environment
- Professional demeanor with both internal staff and external clients
- Understanding of confidentiality requirements in HR functions
