Responsibilities:
- Manage CEO's or Director's schedule, appointments, and travel arrangements.
- Coordinate meetings, prepare documents, take minutes, and follow up on action items.
- Handle confidential correspondence, reports, and communication with internal and external parties.
- Act as liaison between management, departments, and business partners (including Japan HQ).
- Translate meeting notes, contracts, and business documents (for Japanese-speaking position).
- Prepare sales quotations, tenders, and marketing presentation materials.
- Maintain and update sales, client, and contract records accurately.
- Support office operations including procurement, filing, and general administration.
- Assist in planning and coordination of company events, business trips, and marketing activities.
- Ensure smooth daily operations and effective communication across all departments.
Requirements:
- Diploma or Degree in Business Administration, Management, or related field.
- At least 3–5 years of relevant experience in executive or secretarial support.
- Japanese-speaking role: JLPT N2 or above, with ability to translate business documents.
- English-speaking role: Excellent written and spoken English; experience in Legal or Banking sectors preferred.
- Strong organizational, communication, and multitasking skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Professional, discreet, and detail-oriented with a proactive attitude.
