Job Summary: The Hard Services Manager is responsible for overseeing the maintenance and repair of all building systems within a facility. This includes HVAC, electrical, plumbing, and other mechanical systems. The role involves managing a team of technicians, coordinating with contractors, and ensuring that all maintenance activities are performed in compliance with safety regulations and industry standards. Additionally, the Hard Services Manager will act as the primary point of contact for tenants, addressing their concerns and ensuring a high level of satisfaction.

Responsibilities:

- Lead engineering management at a senior level, driving performance and service improvements.

- Set and control annual budgets for all site Hard Services expenditures.

- Ensure successful delivery against contractual targets, PPM schedules, and KPIs.

- Improve performance against contractual SLAs.

- Oversee service provision on sites with strong permit to work systems.

- Manage and enhance supply chain engineering service contracts.

- Implement best practices and continuously review and improve services.

- Ensure service promises are delivered to agreed standards and provide value for money.

- Build effective working relationships with staff and external clients.

- Manage, motivate, and develop team performance.

- Review and update all hard services related SOP on a quarterly basis.

- Strong negotiation and influence abilities at all levels.

- Effective people management skills, including performance management, teamwork, motivation, delegation, and discipline.

- High level of self-motivation, organizational skills, and ability to meet deadlines.

- Ability to prioritize tasks for self and team.

Key Aims

  2. Lead and manage the maintenance team to achieve high performance.
  3. Foster strong relationships with tenants, contractors, and service providers.

  5. Manage the budget for hard services efficiently.

Principal Duties and Responsibilities

  1. Maintenance Management:

  2. Develop and implement maintenance schedules for all building systems, ensuring regular inspections and timely repairs.

  3. Oversee the maintenance and repair of HVAC, electrical, plumbing, and other mechanical systems.
  4. Ensure that all maintenance activities are performed in compliance with safety regulations and industry standards.
  5. Team Management:

  6. Supervise and lead a team of technicians and maintenance staff, providing guidance, training, and support as needed.

  7. Conduct performance evaluations and manage staff development and training programs.
  8. Contractor Coordination:

  9. Manage relationships with external contractors and service providers, ensuring quality and timely delivery of services.

  10. Negotiate contracts and agreements with vendors, ensuring cost-effective solutions for the organization.
  11. Budget Management:

  12. Develop and manage the budget for hard services, ensuring cost control and efficient allocation of resources.

  13. Monitor expenses and provide regular financial reports to the Site Lead.
  14. Compliance and Safety:

  15. Ensure compliance with all relevant health and safety regulations, conducting regular audits and inspections.

  16. Implement and maintain safety protocols, conducting regular training sessions for staff.
  17. Project Management:

  18. Oversee renovation and refurbishment projects, ensuring that work is completed on time, within budget, and to the required standards.

  19. Coordinate with other departments and stakeholders to minimize disruption to operations.
  20. Tenant Liaising and Management:

  21. Act as the primary point of contact for tenants regarding maintenance and facility issues.

  22. Address and resolve tenant concerns promptly, ensuring a high level of satisfaction.
  23. Communicate upcoming maintenance activities, potential disruptions, and project updates to tenants.
  24. Conduct regular meetings with tenants to gather feedback and improve service delivery.
  25. Reporting and Documentation:

  26. Maintain accurate records of maintenance activities, including work orders, inspections, and repair logs.

  27. Provide regular reports on the status of building systems, maintenance activities, and any issues or concerns.
