About the role

St Joseph's Home is seeking a highly organised and proactive Programme Executive to join our team. This full-time role is based in the West Region and will be responsible for providing efficient and accurate document control and records management support across the organisation.

What you'll be doing

  1. Data Management

  2. Generate, prepare and organize residents' data and statistical reports to analyze trends to aid decision-making.

  3. Track and compile attendance records for all residents-related events and sessions.
  4. Support team members and departments with data entry, maintenance, and analysis tasks.
  5. Ensure all documentation complies with healthcare regulations, organizational policies, and accreditation standards, and ensure accuracy and consistency of all data
  6. Maintain both digital and physical filing systems for relevant records.

  7. Programmes & Administrative Support

  8. Manage daily schedules, calendars, and appointments; send reminders and resolve conflicts.

  9. Coordinate resident sessions and appointments, ensuring no double bookings.
  10. Conduct checks on expiring subsidies and financial assistance schemes, including performing weekly reviews of subsidy validity and accuracy using National Means-Testing results.
  11. Organize meetings: prepare agendas, take minutes, follow up on action items, and arrange logistics. Also include providing logistical support for meetings and events (e.g., setup, catering, dietary needs, refreshments).
  12. Compile feedback from residents and families; distribute educational materials.
  13. Contribute to workflow improvements to enhance efficiency and service delivery.

What we're looking for

  1. Experience in a similar records management or document control role, ideally within the healthcare or social care sector
  2. Strong organisational and administrative skills with excellent attention to detail
  3. Proficient in using document management software and Microsoft Office suite
  4. Excellent communication and interpersonal skills, with the ability to work collaboratively across teams
  5. A proactive and solutions-focused approach to problem-solving
  6. Knowledge of relevant document control regulations and best practices
