KEY RESPONSIBILITIES:

1. Front Desk & Guest Management

  • Greet and assist visitors in a professional and courteous manner, maintaining a positive company image.

  • Handle incoming phone calls, emails, and general inquiries; direct them to the appropriate departments.

  • Serve tea, coffee, or refreshments to guests, clients, and visitors during meetings or upon arrival.

2. Administrative & General Support

  • Maintain organized filing systems, perform data entry, and prepare documents as needed.

  • Provide ad-hoc administrative support to various departments as required.

  • Record and arrange the sending of incoming and outgoing mail.

  • Assist in scheduling meetings, managing calendars, and making travel arrangements.

  • Arrange and prepare necessary items for new employees such as computer, stationery, lift & door access cards.

  • Conduct periodic checks on office PCs to ensure antivirus software is up to date and assist with updates when necessary.

3. Meeting & Event Coordination

  • Manage the booking of meeting and conference rooms, ensuring they are tidy and ready for use.

  • Assist in planning and organizing internal company events, staff gatherings, and meetings.

4. Office & Pantry Operations

  • Monitor and manage office supplies, pantry items, and stationery inventory; ensure timely restocking.

  • Ensure the general cleanliness and orderliness of the office and pantry areas at all times.

  • Care for office plants, ensuring they are watered and well-maintained.

  • Refill the coffee machine and ensure all pantry supplies are stocked and in working order.

  • Coordinate servicing of office equipment such as photocopier machines, water dispensers and coffee machines.
