Department Description
Established in 2003, Fidelity’s Singapore office supports sales and marketing activities throughout South East Asia and the Middle East & Africa.
The business’ objectives include to:
- Grow the business and diversify the asset base across channels and countries
- Become a recognized and trusted partner for institutional and wholesale clients
- Achieve a leadership position with respect to investment solutions, leveraging Fidelity’s strengths and aligned to customer needs
- Build the Fidelity brand and our thought leadership, and be recognized for the capabilities and wide range of solutions we offer

Marketing
The Marketing team in Singapore is responsible for advertising, public relations, distribution/sales support, marketing communications, events/campaigns management, web/digital, etc. in Singapore and throughout South East Asia and the Middle East.
Sales
The Sales team in Singapore is responsible for new sales and asset retention of Fidelity strategies across retail banks, private banks, insurance companies etc. and institutional investors in Singapore and throughout South East Asia.
Purpose of your role
The purpose of this role is to support (and work closely with) the sales & marketing teams to provide full secretarial/administrative support. The role will be expected to cover a mix of responsibilities including general day-to-day administrative support and marketing and sales team support.
Key Responsibilities
1. General Secretarial and Administrative Duties
- Coordination and scheduling of local/ overseas/ regional meetings, VCs, conferences, appointments etc
- Arrangement of travel plans and itineraries for all trips inside and outside Singapore, and management of visa-related matters
- Management and handling of expense(s) reimbursement
- Preparation of reports, presentations and other documents
- Other general administrative duties e.g. co-ordinating courier arrangements etc
2. Event Management
- Assisting in the coordination and implementation of sales and marketing related events such as roadshows, conferences, seminars, workshops, trainings etc
- Event management duties include:
- Management of logistics including visitor itineraries, agenda and meetings, venue bookings, travel arrangements etc
- Preparation/distribution of materials (including printing, binding and packing), in partnership with vendor partners
- Coordination of events premium distribution, in partnership with vendor partners
- Management of food and beverage arrangements
- Managing event mailbox for RSVPs and/or managing events invitations/RSVPs through Marketo
- On-site management of events, etc
3. Sales / Marketing Support Duties
- Arranging sales event logistics including preparation, printing, and binding of materials for client meetings, branch visits etc
- Management of sales team’s generic mailbox for clients
- Dissemination of regular and ad-hoc commentaries including monthly factsheets, monthly fund commentaries, market commentaries etc
- Preparation of reports / management of special projects as assigned by business heads
- Arranging meeting logistics and delivery of reports to internal and external parties
- Marketing/Sales invoice processing, including using Anaplan
- Correspondence with vendors/hotels for Marketing deliverables and client events
Experience and Qualifications Required
- Pleasant and flexible, hardworking, organized, and committed to quality output
- Attune to detail; highly-responsive to timely matters; professional; proactive
- Administrative and basic project management experience
- Proficient with Word, Excel, and PowerPoint
- Excellent communication skills, verbal and written in English and Chinese
- Working experience in Financial Services a plus
