Constellar is looking for an experienced Conference Operations Manager to join our dynamic team of experienced specialists to accelerate our growth in Asia. The Conference Operations Manager will lead the Conference Operations team on-site, to plan, coordinate and manage the conference function such as set up, equipment, speakers, and general logistics. Working closely with the project teams, you will help to coordinate all aspects of the conference-related activities.
**In this role, you will**:
- Plan, manage and deliver Constellar’s conference-related events including high-level summits, conferences, industry roundtables, virtual events, and other meetings from conception to completion.
- Manage suppliers and budget - Liaise with suppliers for equipment and service support quotations and negotiate pricing.
- Coordinate virtual events and webinars, platform set up, speaker liaison, design features, and live stream coordination including chasing speakers recording, coordination with AV team, designer and editor, preparing speaker onboarding, conducting rehearsals etc.
- Communicate with speakers and manage their requirements to ensure that the conference programs run smoothly.
- Coordinate with suppliers for travel and accommodation arrangement for speakers within budget.
- Manage the costs, and prepare operations budgets including raising purchase orders, obtaining final costs, and signing off invoices with approval.
**To help you succeed in this role, you should have**:
- Minimum 3 - 4 years of experience in Events Operations in the MICE industry is required.
- Good understanding of Exhibitions, Conferences, and virtual events.
- Ability to manage suppliers.
- Organized and able to manage multiple senior stakeholders at the same time.
