Order Fulfilment Executive

**Order Management**:

- Management of financial documents related to sales such as quotations, sales orders, invoices, receipts, credit notes
- Liaise with the relevant internal and external parties to manage and resolve all issues related to order fulfilment
- Monitor and follow up on pending orders, backlog status and payment
- Work with finance department on all account receivables
- Work with sales department to ensure that customers’ and distributors’ shipping details are correct
- Work with sales department to provide timely delivery cost quotations

**Inventory management**:

- Keep stock of current inventory
- Account for changes in stock due to purchases, sales, and transfer orders between warehouses
- Manage arrangement of stock in HQ office

**Logistics and Shipping**:

- Preparation of orders for international and local shipping
- Follow up on shipment status and ensure distributors’ and customers’ requested delivery dates are met
- Maintain records of all inbound and outbound shipments
- Maintain shipping records, including providing tracking or shipping history information to customers and distributors on request
- Management of documents related to fulfilment such as packing list, delivery order, airway bills
- Preparation of certificate of country-of-origin
- Liaise with third-party logistics to ensure shipments are on time and the correct export documentation and customs and excise conditions are adhered to
- Receive and check all invoices received from third-party logistics partners before submitting to finance department

**Administration**
- Ensure all soft and hard documents are kept neatly for auditing purpose
- Check through monthly system-generated reports on order fulfilment and current stock before submitting to manager

**Requirements**:

- Minimum GCE ‘O’ level with at least 1 - 2 years of experience in sales coordination, logistic industry or supply chain function
- Working knowledge of entire order management process and shipment documentation
- Independent and takes initiative
- Good interpersonal and communication skills with a positive mindset

**Work arrangement**
- Part-time OR Full-time (flexible)
- Work hours: 3 (part-time) or 5 days (full-time) per week
- Work attire: Business casual
