What you will be responsible for:
Using discretion and judgement, manages and coordinates all operational aspects of the Singapore & Hong Kong office while maintaining strong working relationships with internal and external resources on a regular basis. Effectively support and ensures company policies, best practices and procedures are adhere within department.

PRINCIPAL RESPONSIBILITIES:

- Manages and supports a wide spectrum of office management and operational aspects of the Singapore and Hong Kong office.
- Performs a variety of specialized duties, which may be complex or confidential in nature, to assist management and ensure smooth and efficient department operations.
- Mentor, guide and resource for the investment administrative team in Asia-pac. Continues to stay apprised of investment team needs & support.
- Primary contact for all the Boston Departments - Finance, IT, Purchasing, Business Continuity, HR, Legal, Compliance, Corporate tax, travel, etc. to manage local processes and resolve complex matters as needed. Collaborate and maintain strong mutual working relationships with internal and external resources.
- Responsible for ensuring that all IT support functions are maintained and that any issues are resolved with the appropriate support departments.
- Manages the effective execution of projects for new office space planning in Singapore and Hong Kong. Manages & provides input on lease agreements, rent negotiations, managing relations with our approved vendors and suppliers etc.
- Plan, coordinate, organize office expansion and build-out for Singapore and Hong Kong. Collaborate with Boston Global Property Management & Design Team in carrying out these projects and working alongside with local contractors.
- Responsible for office management/development and vendor management. Undertake sourcing and liaising with suppliers and vendors, and maintaining positive working relationship with these external parties. Liaise with suppliers/vendors including property agents, building management team, etc. as well as service maintenance and negotiation of Contracts. Collaborates with the Disaster Recovery team in Boston on the Singapore and Hong Kong Disaster Recovery and Pandemic plans. Manage governmental statutory requirement on Safe Management Measures during the Pandemics (Covid-19) collaborating with HR and Compliance team.
- Manages office accounts payable. Review and approve expenses and look out for any discrepancies. Works closely with Corporate Finance to ensure accurate monthly/annual reporting. Responsible for managing the overall facilities in the office ensuring a clean, health and safe work environment and meeting the needs of employees appropriately. Adhere to building safety and as well as fire regulations within the office and attend half yearly evacuation drills.
- Improve, enhance and develop on going procedures to ensure quality efficient work flow.
- Performs additional related duties as requested.

JOB REQUIREMENTS:

- Bachelor’s degree or equivalent education or experience.
- Minimum of 10-15 years of operational experience providing service to employees and managers in various capacities.
- Strong interpersonal, organizational and communication skills.
- Independent problem solver who presents solutions and takes initiative.
- Strong ability to multi-task.
- Ability to work with employees at all organizational levels & ability to communicate & negotiate with external partners.
- Ability to handle information in a manner which protects confidentiality.
- Language skills desired but not required.
