**Senior Executive**

**Job Summary**:
**The Guide Shop is an integral part of the Girl Guides Office and caters to the needs of all our members.**:
As the Senior Executive, Corporate Services (Shop) the role requires you to run the administration & operations of the shop including but not limited to:
1. Day to day management of sales including communicating and updating status with Guiders

2. Fulfilment of all orders from packing to delivery including coordinating with delivery partner

3. Closing orders with proper and accurate invoicing for payments

4. Weekly ad hoc stock take of fast moving items

5. Daily sales closing of POS, reconciliation

6. Monthly reporting of sales and inventory

7. Management of inventory and procurement of low stocks

8. Management of E- Commerce orders and fulfilment, inventory check, update and reports

9. Annual Procurement Exercise including sourcing quotes / tender exercise

10. Sales activities and events including communications campaigns, sales at GGS events and programmes

11. Lead and manage annual internal and external stock take that happens twice yearly

Working with commissioners and teams, you will also work in collaboration on any ad hoc projects, sale campaigns and projects or events.

This is an independent role and will require you to be in the office at least 4 days a week when the shop is in operation

**_Working hours are from Tuesdays to Fridays from 8.30am - 5.30pm and Saturdays from 8.30am - 5.00pm _**

**Duties & Responsibilities**:
**Shop**:
The key function in this capacity includes

a. Maintenance of the physical shop/ space

b. Management of procurement and inventory including management reports, data analysis

c. Proper maintenance & filing of documents

d. Annual procurement exercise

e. Annual internal and external stock take

f. Day to day management of orders, delivery & customer service

g. Invoicing of all orders completed

h. Opening and closing of shop, POS system & daily reconciliation

i. Weekly reconciliation with finance on inventory and sales

j. Budget management

k. Support of workshops, campaigns pertaining to shop events & activities

**E-Commerce**:
a. Management of orders and fulfilment

b. Management of E-comm system in conjunction with POS System

c. Follow up on orders

d. Checking of inventory to ensure that inventory is available at all times

e. Management reports on a monthly basis

f. Reconciliation with finance on a weekly basis

**Administration and Ad Hoc Projects**:
As GGS runs multiple events, activities and training, you will be required to

2. Support in key events such as World Thinking Day, Award Ceremonies and any other ad hoc events or activities that happen through the year

3. Support the public cookie sale

Role Requirements
- Experience in retail / e-commerce with a minimum of three years work experience
- Background or understanding of basic finance or accounting will be an advantage
- Understanding of Girl Guides will be an advantage
- Ability to manage both internal and external stakeholders well
- Good understanding of inventory management, stock take, sale and inventory reconciliation
- Able to work efficiently, according to timelines and multi-task well
- Able to communicate well with various stakeholders
- Must be proactive and resourceful
- Able to produce data analysis and dashboard reporting
- Able to put in place systems and structures for growth
- Able to work independently as well as in collaboration with others
- Digitally or technologically savvy
- Understanding of use of POS systems will be an advantage
