**JOB SUMMARY**

Operations Analytics Unit (OAU), as part of Organizational Planning & Performance Operations, aims to drive TTSH further along its analytics journey. The team’s goal is to use data analytics and artificial intelligence (AI) where appropriate to support operational business decision-making and to engage external experts for potential collaborations.

In general, OAU will:

- Address large and multi-dimensional problems
- Focus on decision making instead of reporting
- Adopt a system-level perspective
- Develop predictive and prescriptive analytical capabilities

The individual will be part of the team and be tasked to ensure smooth start-to-end project management of assigned / initiated studies and projects. He/she will also be a change agent by encouraging mindset change for Hospital-wide / Departmental level initiatives and establish collegiality and effective teamwork.

**MAIN DUTIES AND RESPONSIBILITIES**

SPECIFIC
- **Monitoring, Communication & Reporting of Institution SOC Indicators**
- Ensure validity and reliability of data used for analysis of SOC indicators.
- Monitor the various indicators by clinic & discipline, this includes but is not limited to Wait-Time for First Appointment, Consult Wait-Time, % Defaulters, Attendances and Discharges
- Implement escalation policy to ensure appropriate management of patient flow through the hospital.
- Provide regular statistical reports to Management and other related departments at relevant platforms.
- Coordinate with diversified teams of the hospital for data collation, analysis, feedback and to provide statistical analysis of trends and reports to Management and other related departments.
- **Improving Hospital / Department Operations**

2.1 Plan and implement systems and procedures to ease clinic capacity constraint and leverage on operations tools and IT to optimize clinic slot allocations.

2.2 Plan and optimise all resources and expenditures. Suggest and implement improvements to raise productivity and achieve faster, better, affordable safer patient care.

2.3 Develop and review Job Instructions and Job Improvements for department processes.

2.4 Lead and participate in quality improvement projects Hospital-wide / departmental level.

2.5 Promote Hospital / Department improvement initiatives and establish collegiality and effective teamwork.
- **Project Management**
- Work with OAU manager to identify, lead and participate in quality improvement projects at both the departmental-level / hospital-level to improve SOC utilization and productivity. This involves managing the project life-cycle including:

Project scoping,
- Stakeholder engagement
- Ensuring adequate funding
- Recommending and implementing sustainable solutions where appropriate
- Reporting / Reviewing of outcomes
- Work with OAU manager to explore innovative projects that would provide strategic value to the organization. This could be achieved through:
3.2.1 Developing new business models to optimize clinic slots, wait-time for first appointment, consult wait-time, % defaulters, attendances, and discharges.

3.2.2 Developing the hospital’s capabilities in predictive and prescriptive analytics.
- **Administration / Documentation**
- Ensure all relevant forms, documents and data are properly kept, filed and disposed of in accordance with hospital policies.
- Ensure records are maintained and data collated for submission to Management, MOH and other relevant parties.
- Document the various OAU procedures.
- Ensure validity and reliability of data used for analysis of SOC indicators.
- Monitor the various indicators by clinic & discipline, this includes but is not limited to Wait-Time for First Appointment, Consult Wait-Time, % Defaulters, Attendances and Discharges

GENERAL
- Attend to queries and complaints.
- Assume supervisory responsibility and accountability for OAU in accordance with established hospital policies and procedures
- Support in the “teaching, training and mentoring” of Executive Assistant / Patient Information Associate.
- Any other duties or projects as assigned by Supervisor or Management.

**JOB REQUIREMENTS**

(A)** **EDUCATION, TRAINING AND EXPERIENCE
- Degree holder and above in Computer Science / Business discipline or equivalent.
- Preferably knowledge in coding and analytic software such as Tableau, Python and UiPath
- Preferably with statistical analysis experience.
- Preferably with experience as an effective change agent.
- Good communication and interpersonal skills.
- Possess computer skills, with Microsoft office software knowledge.
