**Administrative duties**
- Process sales and consignment orders, invoicing and liaising with customers to arrange delivery.
- Manage stock reservations (including rental glass) and follow up on backorders when stocks arrive.
- Ensure proper documentations and filing.
- Maintain office efficiency by planning and implementing office policies / SOP.
- Keep track and oversee the maintenance of office facilities, systems and equipment, including business license renewals e.g. AVA, Liquor license.
- Carry out clerical duties such as preparing/ disseminate company memos, maintain staff/vendor contact list.
- Manage and up-keep overall cleanliness and tidiness of office areas, and ensure work place safety.
- Keep stock of office / pantry supplies and place order when necessary.
- Handle all incoming and outgoing mails, including courier services (both local and overseas).
- Organize / coordinate company events, projects and activities, including new staff orientation.
- Provide administration support to Management.

**Purchasing duties**
- Monitor current inventory, work closely with Sales and Ops teams to prepare monthly Purchasing Requisition proposal for management.
- Prepare purchase orders, ensure timely delivery and follow through the complete procurement cycle.
- Negotiate rates and contracts with transportation and logistics providers.
- Handle and resolve issues concerning transportation, logistics systems, imports or exports.
- Liaise and coordinate shipments with respective freight-forwarders and warehouses.
- Report any faulty items or inconsistencies immediately to suppliers.
- Support internal departments for sourcing of required goods, products, and services and negotiating the best or most cost-effective contracts or deals.
- Other ad-hoc duties assigned.

**Requirements**:

- Diploma in Business Administration, or equivalent.
- At least 2 years working experience in admin and /or purchasing role.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office; knowledge of Microsoft Dynamics is a plus.
- Excellent customer service, organizational skills and attention to detail.
- Ability to prioritise workload, work well under pressure and meet deadlines

Pay: $3,200.00 - $3,800.00 per month
