About the role:
PRISM+ is a rapidly growing and ever-evolving organisation based in Singapore, and we are looking for a skilled and highly organized Executive Assistant. This role reports to the Managing Director and is required to provide administrative support to our executive team.
**Key Responsibilities**:
- Provide comprehensive administrative support to the executive team, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Prepare and edit correspondence, reports, and presentations for the executive team.
- Conduct research and prepare briefing materials for meetings, presentations, and projects.
- Act as a liaison between the executive team and internal/external stakeholders, maintaining positive and professional relationships.
- Organize and coordinate events, conferences, and team meetings, ensuring seamless execution.
- Manage confidential and sensitive information with the utmost discretion.
- Assist with project management tasks, including tracking deadlines, milestones, and deliverables.
- Collaborate with other executive assistants and team members to streamline processes and enhance overall efficiency.
- Manages the requisition and maintenance of office facilities and equipment, office supplies and pantry supplies.
- Monitor and manage budgets, expenses, and reimbursements related to executive team activities.
- Identify opportunities for process improvement and implement effective solutions.
- Handle ad-hoc tasks and special projects as assigned by the executive team.
**Requirements**:
- Bachelor's degree in Business Administration, Management, or related field preferred.
- Proven experience as an Executive Assistant or in a similar administrative role, including experience as a Team Lead.
- Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
- Strong attention to detail and accuracy in all work.
- Excellent written and verbal communication skills.
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Demonstrated ability to handle sensitive and confidential information with discretion.
- Ability to work independently and take initiative while also being a team player.
- Strong problem-solving skills and a proactive approach to challenges.
- Flexibility and adaptability to changing priorities and deadlines.
- Experience in project management is a plus.
- Previous experience in a fast-paced corporate environment is preferred.
