The Operation Admin Executive plays a crucial role in supporting the efficient operation of the organization by providing administrative and operational assistance. This position requires strong organizational skills, attention to detail, and the ability to work independently in a fast-paced environment. The Operation Admin Executive will collaborate with various departments to ensure smooth operations and contribute to the overall success of the organization.

**Responsibilities**

**1. Administrative Support**:

- Guide and educate ground staff to promote use of digital apps
- Maintain and organize files, documents, and records.
- Prepare and distribute reports and other documents as required.
- Coordinate and schedule meetings and appointments.
- Assist in minutes taking and preparation of presentations

**2. Mandatory Training**
- Liaise with HR to ensure training certificates of new work sites are up to date

**3. Operations Management**
- Generate and update operation charts and monthly technology adoption reports
- Monitor and Data-entry inventory levels of office supplies and equipment.
- Coordinate and track vendors and service providers for maintenance schedule.
- Serve as a point of contact for internal and external stakeholders.
- Coordinate and communicate with departments and external parties.

**4. Data Management**:

- Collect and organize data to support decision-making processes.
- Maintain accurate and up-to-date records and databases.
- Ensure data confidentiality and compliance with data protection policies.

**5. Process Improvement**:

- Identify areas for process improvement and efficiency enhancement.
- Recommend and implement solutions to streamline operations.
- Continuously evaluate and update operational procedures and guidelines.
- Contribute to the development and implementation of best practices.

**Education/Experience**:

- Experienced in the housekeeping and facilities maintenance industry is an added advantage
- Have experience working in an Operations admin and/or Human Resource role

**Knowledge & Skills**:

- Proficient in Microsoft Office including Excel, Word, PowerPoint, Outlook
- Strong organizational and time management skills.
- Attention to detail and high level of accuracy.
- Ability to work independently and collaborate effectively in a team.
- Problem-solving and critical-thinking skills.
- Ability to work independently
- Eloquent and proficient in English and Mandarin
