DESIGNATION : Manager (10-month contract), Office of Registrar
RESPONSIBILITIES
- Assist with the formulation and implementation of policies and procedures to streamline student administration processes across PG (Postgraduate) programmes.
- Follow up on actions/work arising from key decisions and initiatives from PGPP (Postgraduate Professional Programmes) / PGRP (Postgraduate Research Programmes) committees.
- Research on industry best practices on PG student administration and provide advisory/ recommendation to department head/manager.
- Provide ad hoc PG reports and statistics to stakeholders/government agencies.
- Act as liaison between OPGPP/OPGRP and GPOs (Graduate Programme Offices) as well as relevant units such as the Integrated Student Information System (ISIS) Admin Support Team.
- Manage and maintain the registry of postgraduate student programme/plan records.
- Manage the enrolment of non-coursework requirements (such as dissertation oral examination, postgraduate professional development series, etc.). This includes periodically checking that the records are in order (e.g. cases where non-coursework requirement fulfilment also attracts credits, say a 10-week internship attracts 1 course unit and a 20-week internship attracts 2 course units).
- Manage PG programme graduation filing and completion, including checking and resolving issues from the degree audit records. For programmes where degree audit rules have not been set up, perform sanity checks and obtain the respective GPO’s confirmation that all stipulated academic requirements are fulfilled for the list of graduands.
- Checker for digital and hardcopy degrees and transcripts.
- Covering officer for 5-8 areas during absence of the respective officers.
- Assist in other registrar functions, e.g. matriculation, commencement, exam invigilation, etc.
QUALIFICATIONS
- A degree holder in a business or related field.
- At least 3 years of relevant work experience, preferably in a tertiary institution environment.
- Familiar with student workflow processes, preferably in the area of student records and graduation processing.
- Knowledge/Experience in using the PeopleSoft Campus Solutions would be an advantage.
- Highly organized and meticulous.
- Committed to providing quality customer service.
- Strong communication (spoken and written) and interpersonal skills.
- Analytical and good problem solving skills.
- Ability to work effectively independently and in a team.
