Job SummaryTo support the Singapore Office and APAC territory, making sure all procedures are followed correctly and efficiently whilst having an innovative approach to improving systems and making positive improvements as this region grows.DutiesCorporate Operation duties include but are not limited to:
- Guiding APAC employees with their corporate travel via our online travel management system.
- Assisting with conferences in the APAC region and supporting group travel for these events for staff and guests.
- Providing travel advice while adhering to company policy, gaining appropriate approvals for requests.
- Working with the central teams on visa’s required for staff.
- Run reports and regular analysis of business travel in the APAC region. Coordinate with Finance for cost allocations and recharges.
- To highlight any issues or enquires of note to the wider Corp Admin and HR teams during regular team meetings and to contribute and share ideas or suggestions.
- To organise local office staff parties and social events.
- Order and maintain local stationery and office supplies including drinking water tower.
- To be the first point of contact for the Singapore office - to answer general calls and enquiries and welcome visitors to the office, Coordinating meeting room bookings and conference call set up, ordering any hospitality required for meetings.
- To hold and manage a corporate purchasing card for local office expenses.
- Coordinate with facilities building manager, or IT vendors for matters related to contract renewals, electricity, or internet services.
- Coordinate with Finance for payment and maintain a database in SharePoint of lease agreements, renewal notice and rent changes. Follow up with building manager for lease renewal or termination.
- To support local Health & Safety and facilities.
- Raising purchase requisitions for regular spend on our financial management system, D365 for costs incurred in APAC entities and provide training if needed on raising PR.
- To assist and coordinate new vendor setup in D365 for APAC entities.
- Ad-hoc projects for the business.
- Possible coordination and collaboration with corporate secretarial service providers and members of legal team for satisfaction of periodic legal and corporate registration requirements, such as obtaining signatures, obtaining notarizations, obtaining legalizations and authentications, and effecting express deliveries (both local and international) and formal filing of official documentation
- Potential responsibilities for day-to-day administration of contracts typically required for operation of a regional office, such as with office supply vendors, utility service providers, local ground transport and delivery service providers, etc.
