Position Summary: The Administrative Assistant will be responsible for providing comprehensive administrative support to ensure the efficient operation of the office. This role includes managing day-to-day administrative tasks, basic accounting functions, and assisting with HR-related activities. The ideal candidate will be a proactive and reliable individual with excellent communication skills and a knack for multitasking.

Key Responsibilities:

Administrative Duties:

  • Manage and maintain office supplies and equipment.
  • Answer and direct phone calls, emails, and other correspondence.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Prepare and distribute minutes of meetings.
  • Maintain an organized filing system for both physical and electronic documents.
  • Assist in the preparation of regularly scheduled reports.

Accounting Duties:

  • Handle basic bookkeeping tasks using accounting software (e.g., QuickBooks, Xero).
  • Prepare and send invoices, as well as follow up on outstanding payments.

HR Duties:

  • Maintain employee records and ensure data accuracy and confidentiality.
  • Assist with recruitment processes, including posting job ads, scheduling interviews, and onboarding new employees.
  • Help organize company events, training sessions, and meetings.
  • Process payroll and ensure compliance with relevant laws and regulations.
  • Handle employee inquiries and provide support regarding HR policies and procedures.
  • Assist in the development and implementation of HR policies and procedures.

Qualifications:

  • Proven experience as an Administrative Assistant or in a similar role.
  • Basic knowledge of accounting principles and experience with accounting software.
  • Understanding of HR practices and procedures.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and office management software.
  • Excellent organizational and multitasking abilities.
  • Strong attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
