Job Title: Document Administration Officer

About the Role:

This position is responsible for the effective management of documents throughout the project lifecycle. As a key member of the project team, you will be accountable for controlling all aspects of documentation.

  • Manage incoming and outgoing project records in accordance with established procedures;
  • Duplicate and distribute documents as required;
  • Facilitate timely document review, approval, and documentation in an efficient manner;
  • Control all aspects of documentation throughout the project's life cycle including cataloging, posting, distributing, tracking, and compiling hard and softcopy documents at all project stages;
  • Assist the project team by coordinating document status and distribution;
  • Audit documents to ensure that project files are current and all stakeholders are adhering to the prescribed documentation protocol;
  • Evaluate Project Documental Control policies and procedures to maintain a current and organized project document management system;
  • Provide support for change control and document control processes for the project;
  • Track all document correspondences and transactions;
  • File and archive documentation to facilitate easy retrieval;
  • Support completion of requests, searches, and queries;
  • Prepare and hand over all final as-built documentation.

Required Skills and Qualifications:

To be considered for this role, applicants must possess:

  • A minimum O levels certificate or equivalent qualification;
  • At least 5 years of relevant working experience in registry and document management;
  • Good document control skills, preferably knowledge of ISO 9001 standards;
  • A good working knowledge of MS Office, particularly Excel, and adeptness at file management systems;
  • Prior experience with Project Information Management and Electronic Document Management Systems (EDMS).

Working Arrangements:

The successful candidate will work standard office hours, Monday to Friday from 8:30am to 6pm.
