Experienced Personal Assistant and Office Manager
Huatai Energy Pte Ltd, a thriving energy company located in Suntec, is seeking an experienced Personal Assistant and Office Supervisor to join our team.
Responsibilities / 主要职责
Coordinate and arrange meetings, prepare meeting materials, and take minutes. / 协调和安排会议,准备会议资料,并记录会议纪要。
Manage documents and emails, ensuring files are organized and archived properly. / 管理文件和邮件,确保文件存档井然有序。
Answer and route phone calls, handle daily correspondence. / 接听和转接电话,处理日常通讯。
Assist with visa applications and other administrative tasks. / 协助处理签证申请和其他行政事务。
Manage the procurement and inventory of office supplies. / 负责办公室用品的采购和管理。
Assist in organizing company events and team-building activities. / 协助组织客户接待及团队建设活动。
Provide support for other administrative tasks as needed. / 根据需要提供其他行政方面的支持。
Oversee the general office environment, including supplies, facilities, and equipment maintenance. / 监督办公室的整体环境,包含物资、设施及设备维护。
Develop, implement, and improve office policies and procedures. / 制定、实施并优化办公室政策和流程。
Serve as the main point of contact for vendors, service providers, and building management. / 作为供应商、服务提供商及大楼管理方的主要联络人。
Coordinate with finance teams on payroll, benefits, and procurement-related matters. / 与财务团队协调处理薪资、福利及采购相关事宜。
Supervise administrative staff (if applicable) and delegate tasks to ensure workload balance. / 监督行政人员并合理分配任务以确保工作负荷平衡。
Support onboarding for new employees and ensure smooth integration. / 支持新员工入职并确保顺利融入团队。
Maintain accurate employee attendance records, including contracts, licenses, and personnel files. / 维护准确的员工出勤记录,包括合同、执照及人事档案。
Ensure compliance with local labour laws, workplace safety, and company policies. / 确保遵守当地劳动法、工作场所安全及公司政策。
Qualifications / 任职资格
Bachelor's degree or above, with 5 years of experience as an office manager. / 本科及以上学历,具备5年以上办公室主任工作经验。
Fluent in spoken and written Mandarin and English, with a strong service mindset. / 流利的中文和英文听说读写能力,具备高度的服务意识。
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). / 熟练使用 Microsoft Office 办公软件 (Word, Excel, PowerPoint, Outlook)。
Excellent organizational, time management, and communication skills. / 具有优秀的组织、时间管理和沟通能力。
