Job Overview

We are seeking a highly organized and detail-oriented Administrative Support Coordinator to join our team at AIM RECRUIT CONSULTANCY PTE. LIMITED in Joo Koon.

About the Role

The successful candidate will be responsible for providing administrative support to ensure the smooth operation of our office, including managing employee records, coordinating training programs, and maintaining inventory levels.

Key Responsibilities

  • Support the recruitment cycle by coordinating interviews, arranging pre-employment medical examinations, and onboarding new hires.
  • Prepare induction materials and ensure proper documentation for new employees.
  • SOURCE, REGISTER, AND COORDINATE EMPLOYEE TRAINING COURSES, INCLUDING ORGANISING PAYMENTS AND MAINTAINING TRAINING RECORDS.
  • Maintain and update employee leave records.
  • Evaluate and process medical claims from company-approved clinics.
  • Schedule and monitor six-monthly medical examinations.
  • Manage and track inventory for stationery and first aid items, ordering replenishments as needed.
  • Coordinate with vendors to manage various types of uniforms and safety shoes, including distribution to employees for new hires, wear-and-tear replacements, and anniversaries.
  • Oversee maintenance and repair of office equipment such as photocopiers and ensure accurate monthly billing of copier counter meter readings.
  • Manage telco billing for company landlines and corporate mobile lines.
  • Record and track incoming and outgoing slow mail.
  • Conduct housing inspections and prepare reports.
  • Handle incoming calls, emails, and other communications, ensuring timely responses or redirection.
  • Compile and prepare monthly reports for office supplies, uniform, and safety shoe inventory, medical claims, etc.

Requirements

To be considered for this role, you should have:

  • A Diploma or higher in Human Resources, Business Administration, or a related field.
  • Previous experience in HR or administrative roles is an added advantage.
  • Strong organisational and time-management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills.
  • Attention to detail and accuracy in managing data and reports.
  • The ability to multitask and prioritise tasks effectively.
