We are seeking a highly organised and detail-oriented Administrative Support Coordinator to join our team at BBC Studios Singapore Private Limited.
Job DescriptionThe successful candidate will be responsible for providing comprehensive administrative support to our teams, including coordination of projects, maintenance of records, and day-to-day office management duties. Key responsibilities include:
- Administrative Assistance: Provide administrative support to teams, using discretion to identify and resolve first-line issues, and referring to supervisors/ managers as necessary.
- Project Coordination: Coordinate key team meetings, including agenda preparation, document distribution, minute-taking, and follow-up on outstanding actions.
- Workload Planning: Assess the range and volume of work to be undertaken daily/short-term and plan accordingly to ensure timely completion.
- Diary Management: Make routine arrangements and bookings, provide diary management, travel booking, and expense claim assistance to team members.
- Office Processes: Maintain, efficiently operate, and improve office processes and administrative systems to ensure smooth team operation.
The ideal candidate will have experience in providing administration assistance, be highly organised, and possess excellent communication skills. A relevant business administration qualification is desirable.
Key Responsibilities and AccountabilitiesIn this role, you will perform a range of tasks as part of a specific service or service team, providing or contributing to the provision of support services to an agreed quality standard or specification. You will work with minimum day-to-day supervision but clear guidance, with initiative needed to handle processes and casework and to resolve problems and queries based on experience and judgment.
Skills and QualificationsTo succeed in this role, you will need:
- Experience in Administration: Proven experience in providing administration assistance in at least one organisation.
- Organisational Skills: Ability to prioritise workload effectively, coordinate activities, and meet tight deadlines.
- Communication Skills: Effective communication skills with the ability to work well with a range of people at all levels.
- Computer Skills: Proficient computer skills with strong experience of office software packages (e.g., Word, Excel, PowerPoint).
- Problem-Solving: Ability to use own initiative with minimal supervision, deal with routine queries, and escalate to others as necessary.
We offer a competitive salary of SGD 38,000 - 42,000 per annum, commensurate with experience, plus benefits.
