Executive Support Role

This is an exciting opportunity for a highly organized and skilled professional to provide comprehensive administrative support to a senior-level executive.

  • Coordinate calendar management, travel arrangements, expense reporting, and email/task coordination with precision and discretion.
  • Maintain accurate departmental records, filing systems, and correspondence.
  • Take thorough meeting minutes and assist in follow-up actions as needed.
  • Develop engaging reports, charts, graphs, and tables to inform business reviews and decision-making.
  • Monitor departmental performance and ensure efficient allocation of resources.
  • Support onboarding activities for new or transferring team members.
  • Coordinate conferences, team functions, and dinners with attention to detail.

Key Responsibilities:

  • Calendar Management: Ensure the executive's schedule is up-to-date and accurately reflected.
  • Travel Arrangements: Make travel arrangements for the executive, including booking flights, hotels, and rental cars.
  • Expense Reporting: Manage expense reports for the executive, ensuring timely submission and approval.
  • Email/Task Coordination: Coordinate emails and tasks for the executive, prioritizing urgent matters.
  • Departmental Records: Maintain accurate and up-to-date departmental records, including filing systems and correspondence.
  • Meeting Minutes: Take thorough meeting minutes and assist in follow-up actions as needed.
  • Reports and Presentations: Develop engaging reports, charts, graphs, and tables to inform business reviews and decision-making.
  • Performance Monitoring: Monitor departmental performance and ensure efficient allocation of resources.
  • Onboarding Support: Support onboarding activities for new or transferring team members.
  • Event Planning: Coordinate conferences, team functions, and dinners with attention to detail.

Requirements:

  • A minimum of 2-3 years of experience in a Team Assistant or Executive Secretary role.
  • Demonstrated ability to manage multiple tasks independently with high accuracy and professionalism.
  • Excellent organizational, time management, and communication skills.
  • Professionalism and tactfulness when interacting with internal and external stakeholders.
  • Advanced proficiency in Microsoft PowerPoint is essential, with the ability to create visually compelling, executive-ready presentations.
  • Familiarity with other Microsoft Office tools is a plus.
