Job Summary

We are seeking an experienced High-Level Administrative Support Professional to provide exceptional support to our Vice President of Finance and the Finance team.

Key Responsibilities
  • Provide administrative support, ensuring seamless coordination of calendars, travel arrangements, meetings, and events.
  • Assist in preparing presentations, reports, and documents, maintaining accuracy and attention to detail.
  • Plan and coordinate travel, including accommodations, transportation, passport/visa requirements, and expense tracking.
  • Schedule and coordinate meetings, attendee communications, venue management, site coordination, audio/video setup, catering, and program material preparation.
  • Handle confidential and sensitive information with professionalism and discretion.
  • Collaborate with cross-functional teams for effective communication and information flow.
  • Manage multiple tasks and deadlines, demonstrating organizational skills.
  • Conduct research and compile data to support decision-making processes.
  • Serve as a primary contact for internal and external parties, showcasing strong interpersonal and communication abilities.
  • Contribute to special projects, demonstrating a proactive approach.
Requirements
  • 5+ years of executive assistant experience, preferably in a large, fast-paced environment, with C-level support experience.
  • Demonstrated ability to work independently, analyze problems, and provide creative solutions.
  • Experience handling multiple projects and meeting deadlines.
  • Excellent written and verbal communication skills.
  • Strong decision-making, interpersonal, and communication skills for interacting with various individuals while maintaining confidentiality.
  • Flexibility and adaptability, with the ability to respond to last-minute changes.
  • Extensive international travel management experience, including visa administration.
  • Expertise in Microsoft Office suite products, including PowerPoint, Excel, Outlook.
  • Experience with Concur expense systems.
Compensation

The estimated salary for this role is $80,000 - $120,000 per year, based on industry standards and location.
