Job Description

Reservations Executives are responsible for managing hotel reservations, ensuring maximum guest satisfaction through prompt and cordial attention. They work closely with the Sales Department to monitor reservation activity and communicate status updates.

Key Responsibilities
  • Monitor daily reservation activity and update the Sales Department on status.
  • Follow up on tentative sales bookings with Sales Managers to ensure timely resolution.
  • Accurately maintain and update files related to room bookings.
  • Liaise with clients to coordinate wash according to attrition policies.
  • Obtain rooming lists from clients in a timely manner.
  • Release room blocks to general inventory after cut-off dates or cancellations.
  • Ensure accurate rooming lists are input into the PMS system.
  • Pre-block rooms for special requests.
  • Follow up on no-shows from bookings and communicate non-arrival charges to clients.
  • Maintain a strong working relationship with all hotel departments.
  • Provide support to other department members as needed.
  • Contribute to overall hotel profitability by maintaining a high reputation and excellent customer service.
  • Check and monitor room inventory, alerting the Reservations Manager to high/low demand dates.
  • Develop a positive attitude towards work and be self-motivated.
  • Contribute to operational efficiency by performing assigned duties.
  • Establish good public relations with guests.
  • Promote ideas to improve the department's performance.
  • Provide guests with accurate and up-to-date information at all times.
  • Achieve maximum guest satisfaction through recognition and prompt attention.
  • Update clients on reservation trends and forecasts for current and future dates.
Required Skills and Qualifications
  • Diploma in Tourism/Hospitality Management.
  • Minimum 2 years of experience in a similar role with a proven track record.
  • Excellent reading, writing, and oral proficiency in English language.
  • Proficient in MS Excel, Word, and PowerPoint.
