The Retail Operations Coordinator plays a crucial role in assisting our Retail Operations teams by providing essential operational support on a daily basis to ensure seamless business functions.
Key Responsibilities:
- Offer administrative assistance to Operations Management and Sales teams to facilitate efficient daily retail activities.
- Monitor store sales and KPI objectives, ensuring accurate documentation and verification of sales-related commissions and incentives.
- Support inventory management by participating in scheduled stock takes as directed by Management to comply with licensing regulations.
- Assist in the administrative processes for new store openings and closures, product launches, and special events.
- Implement standards for back-of-house operations, ensuring adherence to organizational practices, health, and safety protocols across all retail locations.
- Act as a liaison for processing and updating Brand Ambassadors' information, including roster consolidation and sales data sharing with agencies, while maintaining positive relationships with external vendors.
- Facilitate the application of airport passes for vendors and external stakeholders.
- Oversee the management and replenishment of operational supplies, including sourcing and ordering stationery, packing materials, and equipment necessary for operations.
- Identify opportunities for operational improvements and communicate suggestions to management to enhance efficiency and reduce costs.
- Manage relationships with external vendors and suppliers, ensuring compliance with contractual obligations and quality standards.
- Collaborate with internal stakeholders and the legal department to ensure that contractual commitments are met in the best interest of the organization.
- Review existing operational processes, identify inefficiencies, and propose enhancements to optimize company workflows.
- Take responsibility for all operational permit clearances and renewals to ensure uninterrupted business operations.
- Ensure timely completion of all administrative tasks, including invoices and payments, prior to deadlines.
- Schedule operations meetings, send invitations, and coordinate venue bookings.
- Compile reports and presentations for internal meetings.
- Foster a collaborative and respectful working environment with team members.
- Adhere to company retail standards, operational procedures, customs compliance, and related policies.
- Perform any additional tasks assigned by Managers to meet organizational and business needs.
- The responsibilities outlined above may be subject to change based on organizational and business requirements.
Qualifications:
- Diploma or Degree in a relevant field.
- 2-3 years of experience in Operations Administration within the FMCG Retail or Travel Retail sectors.
- Proficient in Microsoft Office Suite, with advanced skills in Excel (including formulas, pivot tables, and data management), and familiarity with PowerPoint and Power BI for data presentation (not mandatory but advantageous).
- Ability to create templates from scratch.
- Demonstrated adaptability and the capability to navigate new situations and challenges with agility and precision.
