Position Overview
The Administrative Outreach Senior Executive plays a crucial role in enhancing the outreach and admissions initiatives of the College. Located within the Dean's Office of CoE, you will provide comprehensive administrative and operational support for a variety of events, workshops, visits, seminars, and educational journeys. Your responsibilities will include assisting with post-event evaluations and analyses to optimize future outreach efforts and meet the College's objectives. Additionally, you will support the administration and analysis of admissions and scholarships to fulfill the College's targets. You will also offer secretarial support to the Associate Dean, Students (ADS), which encompasses scheduling appointments, documentation, report preparation, and procurement tasks. Coordination with diverse stakeholders will be an essential part of your role.
Key Responsibilities:
- Oversee the ADS's role-based email and calendar management.
- Deliver comprehensive administrative and operational support for outreach activities and events, including coordination, procurement, logistics, marketing communications, and data collection and analysis.
- Assist in the planning and execution of engaging outreach events.
- Manage and facilitate outreach events on-site to ensure their successful execution.
- Maintain databases for outreach events and conduct post-event surveys to enhance future activities.
- Promote the College's programs to prospective students during outreach and admissions events.
- Provide administrative and operational assistance to engineering schools regarding outreach initiatives.
- Ensure timely communication of updates and changes related to admissions and scholarship offers, along with accurate data processing and reporting.
- Compile necessary information and inputs for submissions in a timely manner.
- Perform any additional tasks assigned by the ADS office to support the overall success of the team and the College.
Qualifications:
- Bachelor's degree in Business or Marketing from a recognized university.
- A minimum of 3 years of relevant professional experience.
- Exceptional organizational and time management skills, with the ability to prioritize effectively and manage multiple projects simultaneously.
- Strong interpersonal and communication skills for effective collaboration with stakeholders at various levels.
- Proficient project and event management capabilities.
- Solid knowledge of Microsoft Office applications.
- Demonstrated critical thinking and problem-solving abilities.
- Familiarity with the higher education landscape in Singapore and the Asia-Pacific region is advantageous.
- Ability to adapt and remain flexible in a dynamic work environment.
