Administrative Support Specialist for Construction Firm

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at JOB LIONS PTE. LTD.
About the Role
The ideal candidate will be responsible for providing administrative support to our construction firm, ensuring seamless day-to-day operations.
Main Responsibilities:
- Manage office operations, including scheduling meetings, maintaining records, and handling correspondence;
- Track project claims by liaising with engineers individually to update project status and prepare progress claims;
- Prepare quotations using Xero software, ensuring accuracy and compliance with company standards;
- Perform basic administrative tasks for project coordination, including informing relevant parties upon receiving permit approvals, arranging for the purchase of drawings from the Building and Construction Authority (BCA), and forwarding emails from CORENET to the respective project engineer in charge;
- Maintain good communication with clients and stakeholders, handle inquiries, and assist with scheduling and tracking project deadlines;
- Coordinate with engineering team members to support their administrative needs and assist in the organization and management of project documents.
Requirements:
- A minimum of 1-2 years of experience in an administrative or accounting role, preferably in an engineering or construction firm;
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with Xero software is a strong advantage;
- Bachelor's degree in Business Administration or related field is preferred but not required.
