Job Overview

We are seeking a highly organized and detail-oriented Senior Administrative Coordinator to join our team at Boys' Town. This is an exciting opportunity for a professional with exceptional administrative skills to take on a leadership role in supporting our operations.

Key Responsibilities:
  • To provide high-level administrative support to the management team, ensuring seamless day-to-day operations.
  • To oversee reception duties, visitor management, and coordinate the sorting of incoming mail.
  • To answer calls from the public and provide accurate, satisfactory answers to their queries and concerns.
  • To handle end-to-end administrative matters, including data entry, filing, and documentation.
  • To send and collect letters and other documents daily.
  • To sort and distribute incoming mail efficiently.
  • To perform ad-hoc duties as assigned, such as banking and collection/dispatch of documents.
  • To apply administrative policies, processes, and practices, ensuring corporate governance standards are met.
  • To manage office inventory, track, and monitor stock levels to ensure office functionality using Odoo Inventory Management System.
  • To submit admin-related invoices in the AG system and expense tracking.
  • To support and maintain contract e-filing systems.
  • To execute new projects for the Admin department.
  • To participate in Task Forces and/or committees assigned by the Manager of Finance & Admin and/or Assistant Director of Corporate Services, when necessary.
  • To assist in events planning, such as Board meetings and company events.
  • To ensure compliance with relevant SOPs and participate in internal or external audits.
  • To monitor, update, and track Admin expenses, providing regular updates to the Manager of Finance & Admin and/or Assistant Director of Corporate Services.
  • To monitor and track the budget allocated.

Requirements:

  • Minimum O Level or Diploma qualification.
  • At least 2 years of relevant working experience.
  • Good record-keeping skills (filing/documentation).
  • Proficient in Microsoft Outlook, Excel, Word, and PowerPoint.
  • Excellent interpersonal and communication skills.
Salary Range: SGD 45,000 - SGD 60,000 per annum, depending on experience.
