About the Role

We are seeking an Administrative Coordinator to join our team at AIM RECRUIT CONSULTANCY PTE. LIMITED. The successful candidate will be responsible for providing administrative support to our HR department.

Job Description:
  • Coordinating Interviews and OnboardingCoordinate interviews, arrange pre-employment medical examinations, and onboard new hires in a timely manner.
  • Preparation of Induction MaterialsPrepare induction materials, including documentation for new employees.
  • Employee Training CoordinationSource, register, and coordinate employee training courses, including payments and maintaining training records.
  • Leave Record ManagementMaintain and update employee leave records accurately.
  • Medical Bill ManagementManage medical bills from approved clinics, inputting claim details into the HR system.
  • Scheduling Medical ExaminationsSchedule and monitor six-monthly medical examinations for employees
  • Inventory ManagementManage inventory for stationery and first aid items, ordering replenishments as needed.
  • Vendor LiaisonLiaise with vendors for uniforms and safety shoes, including distribution to employees.
  • Equipment MaintenanceOversee maintenance of office equipment such as photocopiers, ensuring accurate billing of meter readings
  • Telco BillingManage telco billing for company landlines and corporate mobile lines
  • Sending and Receiving MailRecord and track incoming and outgoing slow mail effectively.
  • Housing InspectionsConduct housing inspections and prepare reports
  • Communication HandlingHandle incoming calls, emails, and other communications, ensuring timely responses or redirections.
  • ReportingPrepare monthly reports for office supplies, uniform and safety shoe inventory, medical claims, etc.
Requirements:
  • Educational BackgroundIte/diploma in Human Resources, Business Administration, or a related field.
  • Key SkillsStrong organisational and time-management skills.
  • Technical ProficiencyProficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Communication SkillsExcellent written and verbal communication skills
  • Attention to DetailAttention to detail and accuracy in managing data and reports.
Compensation

The estimated salary for this role is SGD $3500 - $4500 per month, depending on experience.
