Job Title: Trade Documentation Services Officer

As a key member of our team, you will be responsible for managing trade-related documentation and ensuring seamless shipping processes. Your expertise in handling shipping documents, Letters of Credit, and other trade-related documents will enable us to deliver high-quality services to our clients.

  • Documentation Management:
    • You will prepare, review, and manage trade-related documentation including Bills of Lading, Certificates of Origin, Packing Lists, Certificate of Analysis, and Invoices.
    • Ensure accuracy, completeness, and compliance of documents with international trade standards and regulatory requirements.
    • Manage full shipping documentations of shipments under LC and Collection terms.
  • Letter of Credit (LC) Handling:
    • Vet Letter of Credits issued by buyers to ensure they meet the required terms and conditions.
    • Prepare documentation according to LC requirements.
    • Submit compliant documents to banks and clients in a timely manner to facilitate trade settlements.
    • Monitor and follow up on shipment documentation processes to ensure accuracy and efficiency.
  • Shipping and Logistics Coordination:
    • Coordinate with shipping lines, freight forwarders, logistics companies, and transport providers to arrange shipments and monitor delivery schedules.
    • Track shipments and maintain communication with internal and external stakeholders to ensure timely transportation of goods.
    • Monitor shipment documentation processes to ensure accuracy and efficiency in all transactions.
  • Customer Service and Communication:
    • Act as a primary point of contact for clients to provide updates on shipping statuses and resolve documentation-related issues.
    • Develop and maintain positive relationships with customers, vendors, and service providers.
    • Resolve day-to-day shipping documentation issues quickly and efficiently.
  • Compliance and Risk Management:
    • Ensure adherence to international trade laws, shipping regulations, and company policies.
    • Identify and mitigate risks associated with trade documents by resolving discrepancies proactively.
  • Reporting and Record Maintenance:
    • Maintain accurate records of all trade documentation, transactions, and correspondence.
    • Generate regular reports on trade documentation activities and shipment statuses.
    • Update records and reports to ensure information is current and accurate.
