The Retail Operations Coordinator plays a crucial role in assisting our Retail Operations teams by providing essential operational support on a daily basis to ensure seamless functioning.
Key Responsibilities:
- Offer administrative assistance to Operations Management and Sales teams to facilitate efficient daily retail activities.
- Monitor store sales and KPI objectives, ensuring accurate recording and verification of sales-related commissions and incentives.
- Support inventory management by participating in scheduled stock takes to comply with licensing regulations.
- Assist in the administrative processes for new store openings and closures, product launches, and events.
- Ensure adherence to standards for back-of-house operations, focusing on organization and compliance with health and safety best practices across all locations.
- Act as a liaison for processing and updating Brand Ambassadors' information, including roster consolidation and sales data sharing with agencies, while maintaining positive relationships with external vendors.
- Handle applications for airport passes for vendors and external parties.
- Manage inventory supplies necessary for operations, including sourcing and ordering stationery, packing materials, and equipment.
- Identify opportunities for improvement and communicate suggestions to management to enhance operational efficiency and reduce costs.
- Oversee relationships with external vendors and suppliers, ensuring compliance with contractual obligations and quality standards.
- Collaborate with internal stakeholders and the legal department to ensure that contractual commitments are fulfilled in the organization's best interest.
- Review current processes, pinpoint inefficiencies, and propose enhancements to optimize company operations.
- Take responsibility for the clearance and renewal of all operational permits to ensure uninterrupted operations.
- Ensure timely management of all administrative tasks, including invoices and payments.
- Coordinate operations meetings, including scheduling, sending invitations, and booking venues.
- Compile reports and presentations for internal meetings.
- Foster a collaborative and respectful environment with team members.
- Adhere to company retail standards, operational procedures, customs compliance, and related policies.
- Perform any additional tasks assigned by management to meet organizational and business needs.
- Note that the above responsibilities may be subject to change based on organizational and business requirements.
Qualifications:
- Diploma or Degree in a relevant field.
- 2-3 years of experience in Operations Administration within the FMCG Retail or Travel Retail sectors.
- Proficient in Microsoft Office Suite, particularly Excel (including formulas, pivot tables, and data management), with PowerPoint and Power BI skills considered an advantage.
- Ability to create templates from scratch.
- Demonstrated adaptability and the ability to navigate new situations and challenges with agility and precision.
