HR And Admin Executive

ACCOUNTABILITIES AND RESPONSIBILITIES
1) Reception
Responsible for handling general telephone enquiries and walk-in visitors.
Welcome visitors, seated them in the meeting room and offer them with drinks
2) Customers Order
Assist in order taking for Generic Beauty products supply.
Forward all customers enquiries to respective departments.
3) HR Support
Regularly update and ensure accurate maintenance of HR-related information
Assist with the necessary for a smooth onboarding for new hires including preparing
workstation, stationery, Company T-shirts if applicable, etc
Update and review Whyze TMS and Mobile App monthly report
Coordinate training for employees
4) Admin Support
Booking of air tickets for staff and cover them with travel insurance
Booking of hotel for Malaysia and Vietnam colleagues in the absence of Mr Alan personal
assistant.
Print name cards for staff and temporarily name card when necessary
Update forms for daily use
Handling of incoming calls, conveying and record message taken in respective record book
5) Office Support:
Operation and maintenance of office equipment
Liaise for various contractors and service providers for repairs and maintenance in the
absence of Mr Alan personal assistant.
Update of New and Existing Customer's Database for mailing purposes
Photocopy & distribute enquiry form to trainer & sales personnel after BA/Exhibition
Open letter box every morning, collate, record and dispatch mail
To ensure all copiers are loaded with paper for printing
Check and order copier papers for printing , and envelopes for mailings
Issue stationeries to staff on every 4th Friday of the month
Monthly inventory report of copier paper, stationeries and postage usage.
Record and post in/out-going mails in daily basis
Prepare refreshment & stationery meal for company event.
6) Marketing Support
Check envelope & company letterhead stock level & arrange for printing
Holiday message, On-hold message and Closure message
Mail blast & Customers data
Calendar, newsletter and CNY packet mailing
Assist in day to day marketing collateral for delivery e.g. QR code card and poster printing
etc
7) Others
Assist in company meeting power point presentation
Assist Mr Alan and booking of his air ticket and hotel booking in the absence of his personal
assistant.
8) Any other ad hoc matter assign by Superior
