Senior Executive, Administrative Support

Role:
Providing effective and efficient administrative and secretariat support to AP(SL) and DAP(SL), you will execute the full spectrum of programmes, tasks and activities, which include appointment/meeting scheduling, documentation, minutes taking, report compilation and event management. You will also be requested to assist with similar work for the Associate Vice-President (Wellbeing). Your immediate report will be the Associate Provost (Student Life).
As an integral administrative member at the Student Life team, you will also lead or be part of the taskforce in the planning, organization, and management of various meetings between AP(SL) / DAP(SL) and other University leaders and department heads from Colleges, Schools and department. You will also serve to assist the principal staff officer to AP(SL) / DAP(SL) in the management of documentation and travel arrangement, prioritization of requests, handling of sensitive information, communication management, management reporting, and facilitation of inputs and recommendations for decision-making.
Key Responsibilities:
- Execute core administrative functions to support Associate Provost (Student Life) (AP(SL)) and Deputy Associate Provost (Student Life) (DAP(SL)) pertaining to student life matters, information management and stakeholder reporting, ensuring confidentiality, speed and accuracy
- Manage AP(SL) and DAP(SL) schedule, appointments, travel arrangements and submission of various claims, including AP(SL) / DAP(SL) role-based email account and calendar
- Manage scheduling for AVP(Wellbeing)
- Coordinate and provide logistical support for student life-related events and visits
- Assist with the preparation and collation of management reports and presentation slides for AP(SL) / DAP(SL) and think of ways to best present these information concisely to support the intent of the presentation
- Provide secretariat support to draft minutes of meeting and disseminate to members for review and circulation
Key Qualification and Competencies:
- Degree qualification from a recognized institute
- At least 5 years of relevant work experience, supporting and working with senior management in a fast-paced and challenging environment
- Good planning, organizational and problem-solving skills
- Strong interpersonal skills and emotional intelligence
- Good written and verbal communication skills
- IT savvy and proficient in Microsoft Office Applications
