Roles & Responsibilities

The job holder is responsible to provide administrative support to the department and function as a personal assistant to the HOD

MAJOR DUTIES AND RESPONSIBILITIES

(A) SPECIFIC

  • To assist the Head of Department to maintain personal files, co-ordinate staff appraisals and other confidential works
  • Responsible for typing of professional memos and correspondence
  • Responsible for calendar of activities for professional development
  • Responsible for requisition of internet access, name cards, name stamps, laptop etc for department
  • Responsible for stationery order
  • To assist in the preparation of training/teaching slides and other presentation slides
  • To coordinate/assist in the development of training programmes for basic and advance programmes
  • Booking of facilities
  • To organise departmental meetings, minutes taking and ensure follow-up of outstanding matters
  • Responsible for preparation of monthly report, updating of department funds and other funds

(B) GENERAL

  • To provide admin support for overseas visitors
  • To provide admin support for all courses, including preparation of course materials, feedback forms, certificates, liaison with external partners and registration
  • Embrace continuous improvement as our way of life by improving and refining work performance on a daily basis.
  • Any other duties assigned by supervisor

  • Minimum Diploma holder
  • Experience in administrative duties
