TheAssistant Facilities Manager will be responsiblefor:
PeopleManagement (including vendor management)
- Provide coaching and direction toteam to develop and sustain a high quality, well-motivated team;provide oversight and management to the team as a backup for thePost Facilities Manager
- Drive staff morale,trust and work ethic amongst site team by fostering an environmentthat supports teamwork, cooperation, and performanceexcellence
- Assist in mentoring and enablingTraining and Development of team members
- Manage multiple vendors (including hard and soft skills)to deliver services on time and within budget
- Assist the JLL Procurement Team in the vendor procurementprocesses in accordance with agreed Commonwealth procurement rulesas well as JLL's procurement best practices
- Achieve Key Performance Indicators and Service LevelAgreement targets
- Deliver excellent customer serviceto meet client's onsite expectations
- Build anddevelop effective relationships with the Posts' key stakeholdersand be demonstrate comfort working across all levels
- Monitor procedures to ensure service delivery meetscontractual obligations and standards and clientexpectations
- Ensure that the site's financial operations are meetingtargets and control requirements
- Assist andmonitor financial processes to ensure account payable proceduresare followed at all times
- Ensure that allcontracts are professionally delivered at the right cost and inline with the JLL Code of Ethics;
- Monitorexpiry of contracts and initiate re-procurement ifneeded;
- Continually assess contracts to ensurebest value delivered to the client
- This role has the responsibility andduty of care to work safely, taking reasonable care to protecttheir own health and safety and that of fellow workers, contractorsand visitors ensuring they comply with the requirements of thehealth and safety guidelines, policies and rules
- Review contractor Safe Work Method Statements (SWMS)prior to works being undertaken onsite
- ImplementIndustry Best Practice operations
- Assist andmonitor to ensure all building procedures and performance measuresare maintained at all times
- Ensure allCritical Environment (CEM) requirements are met
- Seek ways to reduce costs and improve operationalstandards
- 24/7 emergency call support and siteattendance as and when required
- Ensure the JLL Operational Risk Management (ORM) programis implemented and maintained
- Support theimplementation and monitoring of disaster recovering and businesscontinuity plans
- Follow established escalationprocedures and incident reporting procedures
- Adhere to JLL's business conduct by ensuring compliancewith the firm's guidelines, procedures andstrategies
