Primary Objective

As a core member of Sandpiper's regional People Success team, you will manage the group's accounts payable functions. Your role is essential in ensuring the accurate and timely processing of invoices and payments to vendors and suppliers while adhering to global accounting standards.

Specific Responsibilities

Invoice and Payment Processing

· Receive, review, and process supplier invoices accurately and in a timely manner, ensuring compliance with company policies and global accounting standards.

· Complete client supplier onboarding forms, creating and maintaining project codes.

· Input payment details into the bank portal and request bank authorizations for approval.

· Record payments in the accounting system and track payment statuses to ensure successful completion.

· Assist with monthly bank and account reconciliations, verifying entries and reconciling with system reports.

· Ensuring the creditor aging balance is accurate and reconciled with vendor statements.

Vendor Management

· Build and maintain relationships with vendors, ensuring timely payment and addressing any discrepancies or disputes.

Expense Management

· Work closely with internal teams to process employee expense claim reports, ensuring compliance with company policies.

· Expense tracking for client projects.

Process Improvement:

· Assist in improving accounts payable processes and identifying opportunities for greater efficiency, particularly across international markets.

Compliance and Reporting

· Assist the Finance team in adhering to financial regulations and standards.

· Assist in the preparation of reports, including weekly payables and month-end closing.

· Provide documentation and assistance during audits and other financial reviews as needed.

Key Competencies

  • Experience in a communications agency or professional services firm is a plus.
  • Familiarity with accounting standards and regulatory requirements in Hong Kong, Australia and New Zealand is an advantage.
  • Excellent written and verbal communication skills, especially when liaising with international vendors and internal stakeholders.
  • Strong organizational skills, with the ability to manage multiple tasks, meet deadlines, and maintain high attention to detail.
  • Proficient in financial software, Microsoft 365 and Office tools, such as Excel (Pivot Table), Power BI, PowerPoint and Word.
  • Technologically savvy and experienced with cloud-based systems.
  • Strong team player, and enthusiastic about supporting the regional team in Asia Pacific.
  • Able to work effectively in high-pressure environments.
  • Resourceful, meticulous, and strong problem-solving skills.
  • Required languages: English, Mandarin.

Experience

A minimum of 2+ years' of relevant experience in finance and accounting, ideally within an international consultancy environment.

Qualifications

Bachelor's degree in finance, accounting or a related field.
