Roles & Responsibilities

About the Role

We are seeking a proactive and detail-oriented Sales and Documentation Processing Executive to join our growing team at Food Commodities Trading. This full-time, hybrid role is primarily onsite in Singapore, with the flexibility to work remotely when needed. You will work in direct line of contact with the Management play a key role in supporting procurement and sales operations documentation. Over time, this position offers an opportunity to grow into a broader business development role.

What You'll Be Doing

Sales & Procurement Documentation support

  • Procurement Support: Process and track purchase orders, ensuring accuracy and timely execution.
  • Sales administration support: Process the sales document processing
  • Client Coordination: Liaise with clients to verify order details and documentation requirements.

Administrative Support

  • Documentation handling: archive and organize transaction documents.
  • Bank Payment Processing: Prepare and process documents for bank payments, including Letters of Credit (LCs) and documents at sight.
  • Record Keeping: Maintain and update statements for partners.

Communication & Coordination

  • Serve as a point of contact for partners regarding sales transactions, payment updates, and documentation requests.
  • Coordinate with accountants and auditors to ensure timely access to required documents.

What We're Looking For

  • Experience: Proven experience in sales, procurement processes, or administrative roles, preferably in commodities trading.
  • Education: Bachelor's degree or equivalent in Business Administration, Trade, or a related field.
  • Skills:Strong organizational skills and attention to detail.
    Ability and willingness to learn on the Job
    Familiarity with sales order processing, procurement, and financial documentation.
    Proficiency in Google Workspace (Drive, Sheets, Docs).
    Knowledge of QuickBooks is an advantage.
    Excellent communication skills, with the ability to coordinate effectively across geographies.
    Language: Some French is a plus, company will offer French course to candidate.
  • Work Setup: Primarily onsite in Singapore with the flexibility to work remotely when needed.
