Job Description: Project Coordinator/ Administrator

Position Overview: We are seeking a dedicated and organized Project Coordinator/ Admin to manage and facilitate the scheduling and execution of project task for our end users. This role involves daily interaction with end users, field engineers, and various stakeholders to ensure a smooth and efficient project process.


Key Responsibilities:


Immediate Roles:

· Daily scheduling and communication with End Users:

· Coordinate with end users to schedule OS upgrades on their laptop, workstation.

· Ensure all appointments are scheduled efficiently and in accordance with user availability.


Confirming Schedules:

· Contact end users to confirm scheduled appointments.

· Verify that all necessary preparations are in place for the upgrade process.


Handling Schedule-related Inquiries:

· Respond to calls and inquiries from end users regarding scheduling issues.

· Provide support and resolve any scheduling conflicts or concerns promptly.


Compiling Job Sheets:

· Prepare and compile detailed job sheets at the end of each day.

· Document all completed upgrades, pending tasks, and any issues encountered.


Ensuring Daily Field Engineer Schedules:

· Coordinate with field engineers to assign daily upgrade tasks based on the confirmed end user schedules.

· Ensure field engineers have all necessary information and resources to complete their tasks efficiently.


Qualifications:

· Proven experience in scheduling and coordination roles, preferably in IT or technical support environments.

· Excellent communication skills, both verbal and written.

· Strong organizational skills with attention to detail.

· Ability to handle multiple tasks and prioritize effectively.

· Proficiency in using scheduling software and tools.


Key Competencies:

· Customer-oriented approach with a focus on providing exceptional service.

· Problem-solving skills to address and resolve scheduling issues.

· Ability to work collaboratively with team members and other departments.

· Dependability and the ability to manage time effectively.


Work Environment:

· This position may require on-site work on various client’s healthcare location based on project schedule.

· Flexibility in working hours to accommodate end user schedules is essential.
