Job Title: Office Manager and Project Finance Administrator


Job Overview: We are seeking a versatile and proactive individual to fill the role of Office Manager with a focus on Project Finance Administration for our Singapore office. This position involves overseeing day-to-day office operations, providing administrative support, and managing IT-related functions. The ideal candidate will have a strong blend of organizational and technical skills to ensure the seamless functioning of our office environment.


Responsibilities:

  1. Administrative and Office Support:
    • Manage office schedules, appointments, and meetings, ensuring efficient coordination.
    • Handle incoming calls, emails, and correspondence, responding in a timely and professional manner.
    • Maintain office supplies, equipment, and inventory.
    • Travel arrangement for travel accommodations and itineraries for employees
    • Coordinate and organize company events, meetings, and client events etc.
    • Support managers and employees with day-to-day needs and requests related to HR and IT services.
  2. IT Management:
    • Work with internal IT support team to oversee office IT infrastructure, including hardware, software, and network systems.
    • Collaborate with internal IT support team/external IT vendors to ensure the smooth operation of IT services.
    • Troubleshoot and resolve basic IT issues or escalate to the appropriate support team.
  3. Facility Management:
    • Organization of office space.
    • Coordinate with office space provider/landlord for maintenance, repairs, and other facility-related services.
    • Ensure a safe and comfortable working environment for all employees.
  4. Human Resources Support:
    • Assist in the onboarding process for new employees, providing IT setup and access.
    • Manage employee records, including IT-related permissions, access controls, and security protocols.
    • Collaborate with HR on employee engagement initiatives and team-building activities.
  5. Financial Management:
    • Assist Project Managers to process invoices, receipts, and other financial documentation related to project finance management.
    • Collaborate with finance department to ensure accurate and timely financial reporting.
  6. Authority Digital Submission:
    • Assist Engineers to carry out digital submissions to various Authorities (e.g. CORENET, LTA-PROMPT, PUB etc)

Qualifications:

  • Proven experience as an office manager or in a similar administrative role in engineering consultancy office.
  • Relevant finance administrative experience
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Basic knowledge of IT systems and troubleshooting.
  • Ability to handle confidential information with discretion.
  • Diploma in business administration or a related field is preferred.
